Your missions

Are you passionate about creating memorable experiences? We're seeking an enthusiastic Event Coordinator to join our dynamic team. In this role, you'll play a pivotal part in planning and executing a variety of engaging events, both in-person and virtual.

Responsibilities

Assist in the planning and logistical coordination of events, ranging from intimate meetings to large-scale conventions.

Collaborate with venues on event-specific details such as AV setups, catering, transportation, and accommodations.

Source vendors, request quotes, and manage vendor agreements to ensure seamless event execution.

Handle event documentation and logistics including sponsorships, event kits, and shipping logistics.

Manage RSVPs, guest lists, and event attendance tracking with precision.

Participate in event planning meetings and contribute valuable insights to ensure event success.

Provide onsite support during events, overseeing setup, registration, and teardown activities.

Maintain clear communication with event leads and stakeholders throughout each event phase.

Adhere to budget guidelines and assist in expense tracking and reporting.

Contribute to post-event evaluations and continuous improvement initiatives.

Requirements

Proven experience in event coordination or related field.

Strong organizational skills and attention to detail.

Ability to thrive in a fast-paced environment and manage multiple priorities.

Excellent verbal and written communication skills.

Proficiency in project management tools and platforms (e.g., Google Drive, Asana, Dropbox).

Flexibility to travel domestically as needed (up to 50% travel may be required).

Preferred Qualifications

2-5 years of experience in planning and managing events, including virtual events.

Familiarity with budget management and expense tracking.

Bachelor's degree in business, event planning, or a related field is a plus.
