We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to Executive Committee. This role requires excellent communication skills, the ability to manage multiple tasks efficiently, and a strong background in administrative duties. Experience in Human Resources and managing offshore resources will be highly regarded as our operational demands expand. This position offers a flexible work environment with a combination of work from home and in-office presence.

Key Responsibilities:

  • Provide high-level administrative support to the VP of Finance, CEO and VP of Marketing.
  • Manage and coordinate daily calendars, meetings, minutes, appointments, and travel arrangements.
  • Handle all aspects of central administration tasks, ensuring smooth and efficient operations within the executive department.
  • Act as a liaison between the executive office and other departments within the company as well as external partners.
  • Project manage key initiatives in conjunction with the Executive Committee
  • Manage communication and correspondence with a high level of discretion and professionalism.
  • Assist in the preparation of executive reports, presentations, and financial documentation.
  • Oversee and coordinate the management of offshore resources to meet increasing departmental needs.
  • Participate in HR processes, including recruitment, onboarding, and employee relations as required.

Requirements

To join our team you bring along:

  • Proven experience as an Executive Assistant, preferably with exposure to Finance or HR.
  • Strong administrative and organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office and other office management tools.
  • Experience in managing offshore resources and familiarity with HR practices is highly advantageous.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Resourceful and proactive in dealing with issues that may arise.

Work Environment:

  • Flexible work arrangement with a combination of remote work and in-office presence.
  • Expected office hours are from 10 am to 4 pm, Tuesday through Thursday.
