Driving Excellence: Your Role in Training Mastery

  • Manage all operational aspects of training within the organization.
  • Accountabilities of this role include:
  • Manage online training registrations and ensure a positive student journey by following processes, including:
  • Communicating with students from registration.
  • Scheduling training sessions mindful of trainers’ availability.
  • Resolving any conflicts with trainers’ availability that may arise.
  • Ensuring materials are up-to-date and following up with trainers for updates.
  • Managing the printing and distribution of workbooks to students promptly.
  • Collaborating with the Business Development Manager on class numbers to ensure full capacity without overbooking.
  • Managing content distribution flow in the CRM.
  • Attending training sessions, especially Day 1, to ensure students are present with cameras on and workbooks ready; following up with absent students as necessary.
  • Preparing breakout rooms as required.
  • Recording sessions and sharing them with students as required.
  • Updating WordPress with new courses, amendments, or updates.
  • Running reports from CRM and WooCommerce to ensure accurate student data.
  • Supporting exceptional learning experiences.
  • Generating certifications and distributing them.
  • Sending out surveys, analyzing results, and sharing findings.
  • Building relationships with trainers.
  • Attend client meetings with Practice Leads to coordinate operational requirements throughout project duration:
  • Ensuring smooth training experiences by attending all client and Practice Lead meetings.
  • Acting as the primary point of contact for clients regarding operational needs.
  • Serving as an internal point of contact for inquiries.
  • Managing the SharePoint client folder.
  • Assist Human Resources with internal training needs of staff:
  • Researching training options for staff.
  • Registering staff for training courses, seminars, and conferences.
  • Answering all phone calls from the 1300 phone number, primarily related to training inquiries.
  • Managing queries in the contact mailbox, mainly related to training.
  • Performing adhoc duties as required.

First 6 Months Expectations:

  • Attend our Data Management training.
  • Efficiently manage public training sessions.

After 6 Months:

  • Attend client meetings with Practice Leads to coordinate operational requirements throughout project lifecycles.


Requirements

  • 5 years experience as a Training Coordinator or in similar roles such as Project Assistant.
  • Advanced proficiency in Microsoft Office 365: Outlook, Word, Excel.
  • Proven ability to work independently and with professional discretion.
  • Excellent organizational skills with a proactive approach to prioritizing work and meeting deadlines.
  • Proactive problem-solving skills with strong decision-making abilities.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, and other organizations.
  • Ability to collaborate effectively with a wide range of organizations, locally, nationally, and internationally.
  • Great attention to detail.
  • Excellent written and verbal communication skills.
