Your missions

The Program Specialist is responsible for coordinating, engaging in, and providing oversight of projects, budgets, processes, and the policies and procedures essential to the success of global and departmental programs.

Overview:

The Department of Global Pediatric Medicine (GPM) is a growing department looking for professionals who are eager to help implement the St. Jude Global mission of training the clinical workforce, by developing and strengthening health systems and patient-centered initiatives, and advancing knowledge to sustain continuous improvement through research.

Summary:

The GPM Travel Program Specialist is responsible for planning, organizing, and managing travel-related aspects for GPM faculty, staff and sponsored travelers. This role involves coordinating travel logistics, ensuring compliance with travel policies and providing exceptional support to domestic and international travelers. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.

 Responsibilities:

The GPM Travel Program Specialist is responsible for:

  • Coordinating all travel-related matters for GPM/SJG faculty, staff, and sponsored travelers.

  • Organizing and managing travel and housing for incoming international visitors to GPM.

  • Advising travelers on best practices, policies and procedures for presence on St Jude campus.

  • Communicate with travelers regarding travel needs and associated regulations

  • Resolve travel-related issues for travelers

  • Work directly with St. Jude compliance, legal, and security offices to ensure compliance with departmental and St. Jude policies.

  • Track travel requests and progress while providing ongoing reports to leadership

  • Developing and implementing standard operating procedures for incoming and outgoing travelers.

  • Developing and maintaining information pertaining to GPM travel protocols.

  • Serving as liaison to St. Jude travel office and executive travel agency.

Skills and Abilities:

  • Ability to work in a team environment and oriented to providing outstanding customer service.

  • Excellent organizational, time management, prioritization and multitasking skills.

  • Superior verbal and written communication skills with a demonstrated ability to build strong and effective relationships with key stakeholders.

  • Experience with and ability to perform data collection and analysis.

  • Experience working in a GDS ticketing system such as Sabre, Galileo, or Amadeus.

  • Knowledge of travel industry trends and regulations is a plus.

  • Secondary language skills a plus.

  • Cultural sensitivity a must.

Minimum Education:

  • Bachelor's degree required  

Minimum Experience:

  • 1+ years of experience in program coordination

  • Some experience/knowledge in working with project planning tools like MS Project, Microsoft SharePoint, ServiceNow, Smartsheet, Clarity, Planview, MS Office is a plus

Compensation

In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $60,320 - $105,040 per year for the role of Program Specialist, GPM Travel.
