Job Description

As a People Business Partner, you will focus on building robust, trusted, and influential relationships with various stakeholders, including clients, employees, Department and Division Heads. This involves being responsive, prompt, and collaborative in all interactions to foster a positive and productive working environment.


Here’s an overview of your future role: 
Employment Type: Full-time 
Schedule: Semi-Flexible, 8:00AM - 5PM
Work Arrangement: Hybrid, Kuala Lumpur

What will you do in our team?

Onboarding:

  • Manage the onboarding process in collaboration with the Talent Acquisition Team.
  • Prepare and issue employment contracts and other related documents in compliance with company policies and local labor laws.
  • Monitor the completion of pre-employment requirements to ensure compliance.
  • Collect and maintain accurate employee information for the HR database.
  • Coordinate with various departments to ensure new hires have the necessary tools and information to start their roles effectively.
  • Receive and inspect computers and other equipment to ensure they are in working order before issuing them to employees.
  • Coordinate with IT to resolve any issues with equipment.
  • Ensure employees have all necessary tools and equipment for their roles.
  • Communicate with new hires regarding their welcome email, login credentials, and other relevant information.
  • Schedule and facilitate New Hire Orientation (NHO) sessions to ensure new employees are integrated effectively.

Business Partnership:

  • Build strong, trusted, and influential relationships with stakeholders - clients, employees, Department and Division Heads by being responsive, prompt, and collaborative in all dealings.
  • Provide HR policy guidance and interpretation and consult with management when appropriate.
  • Analyze trends and metrics in partnership with the HR Operations Team to develop sound HR solutions, programs, and policies to propose to clients.
  • Provide guidance and input to clients on business unit structures/restructures, workforce planning, and succession planning.
  • Assess and anticipate human resources-related needs of clients and employees.

Employee Relations, Engagement, and Retention:

  • Provide appropriate feedback and resolution to employee concerns promptly.
  • Work closely with management and employees to improve work relationships, build morale, and increase productivity and retention.
  • Initiate and drive employee engagement activities, rewards, and recognition.
  • Conduct regular touch points with employees through 1-on-1s, small group meetings, and FGDs; consolidate results into a report with insights and action items.
  • Conduct exit interviews and forward a report to the employee's Immediate Superior and Business Unit Head.

Performance Management:

  • Conduct, recommend, and complete probationary and annual performance reviews.
  • Execute employee movements, including changes in employment status, promotions, merit increases, and related salary reviews.
  • Provide performance management guidance to clients, employees, and People Managers through interventions such as coaching, counseling, and Performance Improvement Plans (PIPs).

Career Management and Learning and Development:

  • Facilitate career development discussions with clients and talents.
  • Identify and develop future leaders and run required programs and training initiatives to support their success.
  • Identify training needs for business units and individual training needs in collaboration with the Learning and Development Team.
  • Participate in the evaluation and monitoring of the success of training programs; follow up to ensure training objectives are met.

Employee Discipline:

  • Maintain in-depth knowledge of legal requirements related to employee management, reducing legal risks, and ensuring regulatory compliance; consult HR Leaders on decisions and appropriate courses of action, as needed.
  • Enforce company policies including the Code of Conduct by facilitating learning sessions or roadshows and handling the discipline management process.
  • Manage and resolve end-to-end complex discipline-related issues by conducting effective, thorough, and objective investigations.
  • Draft and issue Notices to Explain (NTE) and Notices of Decision (NOD) following due process.

Payroll and Benefits:

  • Oversee timekeeping systems to ensure accurate recording of work hours and attendance.
  • Process payroll inputs including overtime, leave, and other compensation adjustments.
  • Collaborate with the payroll team to ensure timely and accurate payroll processing including government-mandated benefits such as Employee Provident Fund (EPF), Social Security Organization (SOCSO), Employment Insurance System (EIS), and tax payment as necessary.
  • Address and resolve any payroll-related issues or discrepancies.

Other Responsibilities:

  • Abide by and perform all functions, duties, and responsibilities assigned by the Company in due course.
  • Comply with the orders and instructions given from time to time by the Company through its authorized representatives.
  • Perform any administrative or non-administrative duties as assigned by any of the Company’s representatives from time to time through direct written order or verbal assignment.

Requirements

What are we looking for?

  • Bachelor's degree, or at least 3 years of relevant work experience in a fast-paced environment in a similar role.
  • Advanced proficiency in Microsoft Excel, hands-on experience in building dashboards via Excel, and working knowledge of data visualization tools is preferred.
  • Excellent written and verbal communication skills, ability to multitask, and capability to initiate, lead, and work under minimal to nil supervision.
  • Strong attention to detail and accuracy.
  • Possesses a growth mindset, is comfortable challenging the status quo, and has demonstrated ability to work in a fast-paced and changing environment.
  • Excellent client relationship building, collaboration, and engagement skills; strong sense of customer service, integrity, accountability, and responsibility.
  • Solid experience in labor laws, government regulations, compliance requirements, policy development and implementation, discipline management, performance management, talent development, client management, and strategic business partnering.
  • Knowledgeable and skilled with change processes in complex organizational systems.
  • Experience in leading and implementing an account/program-specific project.
