Your missions

Basic Function

The Operations Manager will oversee the daily operations and various projects within the procurement operations and global travel functions. Reporting to the VP, Procurement Operations, this role will be instrumental in supporting the maturation of the function. This role requires strong leadership, strategic thinking, and excellent organizational skills to ensure the efficiency and effectiveness of our operational processes. In current form, this role will be in an individual contributor capacity

Essential Duties and responsibilities

Primary Responsibilities:

  • Function Maturation:
    • Work closely with the VP, Procurement Operations to support the maturation and continuous improvement of all the procurement operations and global travel function.
    • Help incorporate ESG related tracking as part of Supply Chain Risk Management function. Lead ESG related capability development and deliver on operation. The role will keep evolving with the evolving ESG on regulations and requirements landscape.
    • Develop and implement strategies to enhance the effectiveness and efficiency of the department.
    • Drive the maturation of all aspects of procurement operations, including:
      • Purchasing
      • Contract Administration
      • Sourcing Support
      • Supply Chain Risk Management
      • Helpdesk Operations
      • Tools Management
      • Technology Implementation
  • Daily Operations Management:
    • Supervise and manage day-to-day activities in procurement operations and global travel.
    • Ensure smooth and efficient workflow and processes.
    • Monitor and analyze operational performance, implementing improvements as needed.
  • Project Management:
    • Lead and manage various projects related to the function
    • Develop project plans, set timelines, and ensure successful execution.
    • Coordinate with cross-functional teams to achieve project goals.
  • Global Travel Management:
    • Policy Management:
      • Develop, update, and align travel policies with organizational goals.
      • Stay informed about changes in regulations and best practices to keep the policy current and effective.
      • Collaborate with contributory stakeholders for input and feedback on policy enhancements.
    • Operational Oversight:
      • Manage operations around usage, payments, and reimbursements.
      • Provide guidance and communication to employees regarding Travel & Expense (T&E) policy expectations.
      • Ensure compliance of local policies with the Global Policy.
    • Vendor Management:
      • Negotiate and manage relationships with travel agencies, airlines, hotels, car rental companies, and other service providers to secure favorable terms, discounts, and added value for the organization.
      • Monitor and evaluate vendor performance, providing feedback and implementing improvements as necessary.
    • Technology and User Experience:
      • Leverage technology solutions to streamline travel processes, expense reporting, and data analysis.
      • Stay updated on emerging travel technologies and trends to enhance the overall travel experience.
      • Manage user experience and support, conducting end-user collaboration and feedback sessions to improve processes.
  • Reporting and Analysis:
    • Prepare and present operational reports to senior management.
    • Analyze data to identify trends, issues, and opportunities for improvement.
    • Implement best practices and innovative solutions to enhance operational efficiency.

Job Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
  • Minimum of 5 years of experience in 1 or more of the following: operations management, procurement, or global travel management.
  • Proven track record of successfully managing projects and leading teams.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite.
  • Knowledge of procurement and travel industry standards and regulations.
