We are seeking a Conferences and Events Specialist to join the Foundation in its mission of benefitting, supporting, and enhancing the California Community Colleges—the largest and most diverse system of higher education in the nation. What You’ll Do
The internal Conferences and Events Specialist position is an excellent opportunity for an individual with strong skills in strategy, planning, and execution to support events for the Foundation for California Community Colleges and the California Community Colleges Chancellor’s Office. You’ll be a part of the dynamic non-profit team facilitating collaboration, accelerating innovation and increasing system wide resources.
This team member will work closely with Foundation “core” teams, including executive staff, infrastructure departments, and programs, to develop and execute impactful internal and external-facing communications strategies that raise awareness of the Foundation’s work and support system efforts to increase educational access for students.
The Specialist will bring hotel management expertise to the team, manage wide-range of events from conception to execution and post-event wrap up, including managing the complete Request for Proposal process, head liaison with hotels, oversee AV production management for hybrid (including in-person) and virtual events, overseeing event registration process through Cvent, overseeing events onsite, and managing post event reconciliation.
- Oversee all event execution for in-person, hybrid or virtual events of different attendee sizes.
- Manage all vendors throughout the event process.
- Manage client(s) conversations, provide clients with event proposals and seek approval on all event related items.
- Delegate and oversee event tasks accordingly.
- Conduct the RFP Management, analysis, selection, and site visits
- Manage and lead client Inquiry Request, Intake Meetings and Planning Meetings.
- Oversee vendor management, speaker management, event registration, and event technology.
- Manage and execute all steps within the Post Event Process.

- Strong initiative, with proactive and intuitive problem-solving instincts.
- Proficiency with Microsoft Office Suite (specifically Word, Outlook, PowerPoint, and Excel) event registration software, scheduling tools, CRM (such as Salesforce), task management tool (like Asana) and other standard office software and equipment.
- Proficiency with Google Suite (Including Google Drive, Google Docs, Google Sheets, and other functions within Google)
- Strong organizational abilities including planning, project management, or task facilitation, with an interest in learning the agile methodology for iterative project delivery.

Budgeted Annual Salary Pay Range:
$65,000.00 - $70,000.00
Final salary and rates are based on education, experience, skills relevant to the role, and internal equity.
