Who you are: 

The Inbound Exchanges Events Manager is a crucial role within the Inbound Exchanges Team, responsible for planning, managing, and executing five types of events per calendar year. This role involves coordinating with international representatives, government agencies, field staff, host employers, local coordinators, students, volunteer host families, and other CIEE teams. This position offers excellent potential for professional development beyond operations, with involvement in event support, volunteer organization, marketing, and social media.

 

What you’ll do:

Primary Responsibilities: 

  • Planning, managing, and executing five types of events per calendar year:
      • High School Inbound Spring and Fall meetings, serving 140-200 guests, including CIEE staff, international representatives, local coordinators, and guests.
      • New York Orientation, welcoming 70-100 international high school students weekly over three to four weeks.
      • International Exchange Conference, welcoming 200-300 guests including CIEE staff, government officials, hosts employers, international representatives, local coordinators, and guests.
      • Work and Travel hiring events are held six times per year in 12-16 different cities, with 150-700 applicants per city.
      • Other miscellaneous events, team meetings, conferences, and dinners as needed.

  • Overseeing Event Coordinator(s) and communicating staff responsibilities before and during events.
  • Travel to events as needed.
  • Leverage data analytics to monitor objectives, measure event success, and inform future planning.
  • Foster a culture of continuous improvement and innovation within the events team.


Preparation Tasks:

The inbound Exchanges Events Manager will be responsible for the following activities, among others:

  • Scout and choose venues.
  • Embrace the latest trends and technologies in event management.
  • Create registration pages and distribute them according to department needs.
  • Work closely with the Inbound Marketing Team to generate graphics for registration pages and event promotional materials.
  • Monitor registration and update stakeholders on attendance.
  • Implement virtual and hybrid event technologies where appropriate.
  • Book flights with partnering travel agencies.
  • Contact DMCs to book ground transportation and excursions.
  • Manage the budget for all different projects and keep detailed records of all payments.
  • Communicate guest needs to stakeholders and vendors.
  • Prepare ground transportation schedules based on flight manifests.
  • Order event materials and ensure proper enrollment in travel insurance for hiring events.


What you’ll bring:

  • Bachelor's degree.
  • Willing to provide personalized, white glove service to clients and attendees 
  • Excellent organizational and time management skills with regularly shifting priorities. 
  • Ability and willingness to remain flexible, shifting between projects based on the seasonality of the program.
  • Meticulous attention to detail in a very fast-paced environment. 
  • Strong, professional, written, and verbal communication skills. 
  • Intercultural communication experience is a plus. 
  • Fast learner of new technology, systems, procedures, and policies.

The position is available to applicants in Canada and the United States, except for applicants residing in:
