Purpose of the Position:

The Associate Director, Regulatory Affairs ensures that the daily operational activities related to securing and maintaining state licensure and institutional accreditation are completed in an accurate and timely manner. The Associate Director, Regulatory Affairs conducts and manages research, interpreting regulatory requirements, and preparing and reviewing regulatory filings. The Associate Director, Regulatory Affairs tracks and coordinates completion of licensure and accreditation applications for new initiatives. This includes assessing regulatory requirements, sequencing of applications, and creating timelines to ensure all approvals are secured in advance of the planned implementation date. Additionally, the Associate Director, Regulatory Affairs ensures timely action plans are developed and followed to ensure regulatory filings are submitted and tracked in accordance with deadlines.

The Associate Director, Regulatory Affairs reports to the Associate Vice President, Regulatory Affairs.

 

 

UMA is a nonprofit healthcare educational institution with a national presence. Headquartered in Tampa, Florida and founded in 1994, UMA offers content-rich, interactive online programs as well as hands-on training at our Clearwater, Florida campus. 

  • Anticipated starting salary of $80,000; pay rate negotiable based on experience and qualifications

Key Responsibilities:

Functional:

  • Ensures successful and timely completion of all submission materials in strict accordance with all agency rules and requirements
  • Prepares, reviews and submits regulatory filings to appropriate state and accrediting agencies, such as:
    • Annual Reports
    • New or modified program applications
    • Site visit preparation
    • Self-evaluation reports
    • Agent permit applications
  • Researches state and institutional accreditation standards and provides interpretation of how standards impact operations
  • Monitors occupational licensure requirements to ensure appropriate student recruitment and disclosures
  • Assesses faculty qualifications as needed
  • Identifies policy changes needed based on changes to regulatory requirements
  • Develops electronic versions of regulatory forms and integrates with UMA Sign to facilitate electronic signatures
  • Identifies, manages, writes and tracks completion and submission of all applications with the need for changes or additional rounds of review being rare.
  • Drafts responses to inquiries from regulators
  • Manages and effectively communicates with other stakeholders regarding the development of regulatory filings
  • Ensures all applications, due dates, fees and other pertinent information is tracked and saved within departmental files by developing a quality assurance process
  • Establishes primary relationships with state agencies
  • Administers surety bond program
  • Performs other duties as assigned

  • Creates and implements an effective onboarding plan for every team member
  • Recruits, trains and develops a team with skills and experience aligned to meet UMA’s needs and the market with a focus on retention of top performers
  • Sets clear expectations for all Team Members. Analyzes goals, activities and results to determine action plans to improve individual and team performance per stated performance management guidelines.
  • Ensures that UMA values are being demonstrated and policies are being followed.

Support Institutional Initiatives

  • Keeps current on institutional goals, objectives, and progress
  • Engages in institutional sponsored activities and initiatives as appropriate
  • Leads with courage in support of change initiatives that impact organization
  • Manages and assists in coordinating efforts between departments within UMA

Compliance:

  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Associate Vice President, Regulatory Affairs.

 

Work Experience, Skills & Abilities:

Minimum Requirements:

  • Bachelor’s degree from an accredited college or university
  • Experience with managing accreditation and state licensure processes
  • 6 years of management/operational experiences in post-secondary education
  • Experience with regulatory filings and with achieving/maintaining accreditation and state licensure
  • Organizational and project management experience with the ability to work effectively, accurately, and with minimal supervision to achieve goals and deadlines
  • Excellent written and verbal communication, interpersonal skills, and attention to detail
  • Ability to liaise with and influence internal stakeholders
  • Ability to prioritize, multi-task, and show initiative
  • Ability to train other Regulatory Affairs team members
  • Strong organizational, analytical, and communication skills
  • Strong time management ability
  • Disciplined, able to pay close attention to detail
  • Ability to manage multiple initiatives concurrently
  • Detail and deadline oriented, flexible to rapid change
  • Highly motivated and able to motivate others
  • Able to professionally communicate fluently in verbal and written English.
  • Proficient in MS Office (Word, Excel, PowerPoint) and other business tools such as Skype and Microsoft Teams
  • Able to support a diverse and inclusive work environment

Preferred Requirements:

  • 10 years of management/operational experiences in post-secondary education

 

Working Environment:

  • This is a full-time remote position
  • Flexibility to work evenings and weekends as needed.

 

Physical Demands:

  • Requires long periods of sitting at a desk working on a computer
  • Requires occasional bending, stooping and squatting
  • Requires occasional lifting of up to 10 lbs.
