Our work in the Science Policy directorate focuses on global challenges such as pandemic responses, climate change, and energy, food, and water security. We make the case for strengthening investment in research and innovation and developing STEM education, and we set out the potential for emerging areas of science and technology such as data science and AI and genetic technologies.
Role
The Royal Society is looking for a Programme Coordinator for the Research and Innovation (R&I) team in Science Policy. This is a new role which is intended to broaden our administrative capabilities in the context of an expanding team. It is suitable for an efficient and versatile person who enjoys project and events management, forms excellent working relationships across the board, and has experience of organising people and systems including forecasting and budgeting.
The R&I team is responsible for producing analysis and advice on the political and policy environment impacting science. Our work covers a wide range of topics including research and innovation funding, international collaboration, skills, research culture, visas and immigration, emerging technologies, and pandemic preparedness. The team is also responsible for the Science 2040 programme with a series of events, publications and other activities planned over a five-year period.

You will be a dedicated project management or administrative professional with experience of working in similar types of roles.
You will be agile and efficient in managing a varied and often time sensitive workload.

Location: Carlton House Terrace, London, SW1Y 5AG plus hybrid remote working
Pay Band: C
Salary: £36,300 per annum

Responsibilities:
- Organise the logistics for in-person, virtual and hybrid internal and external policy-related events. This will include liaising with the Society’s internal conferencing and events section, seeking out suitable external venues, organising audio-visual support, arranging catering, sending out invitations, managing the delegate list, on the day registration, preparing relevant material for the event and expenses.
- Manage delivery of a programme of activities, including reporting on progress against key milestones to a range of stakeholders, including funders and senior management, identifying risks to delivery and keeping information management and other project documents up to date.
- Management of financial activities such as coordinating and updating the team’s projects budget tracker, quarterly forecasting and annual budget cycle, regularly reporting updates to the Finance team, creating purchase orders and processing supplier invoices, dealing with expenses claims and logging spending accurately.
- Oversight of the R&I team’s digital and external communications, including the CRM system, website, social media and blogs, coordinating with the Society’s Communications and Digital teams on delivery
- Administrative and logistical support for the R&I team, including travel booking, coordination of meetings, drafting and distributing agendas and papers and minute-taking for a range of informal and formal governance boards, meetings and visits.
- Providing support for projects which may include sourcing background information for events and other activities, drafting briefings, analysing data, providing information to team members to support link-up between different projects, contract management, helping to support relationships across our networks of experts, and other elements of policy delivery work
- Provide ad hoc support to colleagues and contribute to other activities in the Society as required.
