Position/Title: Executive Assistant

Pretium

Position

We are seeking an experienced, organized, and professional Executive Assistant to support several executives in our New York City office. This position is based New York.  Currently, the Administrative team is required to be in the office a minimum of four days a week with a work from home option on Fridays, depending on overall business needs and subject to manager and Human Capital Management approval.

 

Key Responsibilities

  • Proactively manage dynamic and complex calendars, including scheduling meetings and organizing related logistics, with a view to maximize executive’s efficiency and prioritize appropriately.
  • Prepare, produce, and print necessary materials ahead of scheduled meetings.
  • Assist with arranging complex domestic and international travel.
  • Manage clients and other guest visits in the New York office.
  • Coordinate dining reservations, ticket purchases, etc. for executives.
  • Act as ‘gatekeeper’ for incoming communications and meeting requests.
  • Process monthly expense reports.
  • As a member of the Administrative team, collaborate with colleagues to provide general New York office support as needed.
  • Maintain the highest standard of ethics and strict confidentiality in all aspects of the position.

 

Requirements

  • Minimum of five years of relevant senior level executive assistant experience, with a strong preference for candidates with experience in Financial Services
  • Proficiency in the Microsoft Office Suite (particularly Outlook).
  • Ability to multi-task, prioritize, and self-manage.
  • Capability to partner with an existing Administrative team in a collaborative, effective manner.
  • Maintain a high-level of responsiveness.
  • Strong oral and written communication skills; exceptional phone etiquette and proficient editing skills.
  • Exceptional organizational skills and attention to detail.
  • Must be ethical, discreet, and sensitive to confidential and/or personal matters.
  • Undergraduate degree strongly preferred.
