Take Charge: Your Key Moves in Logistics and Purchasing

  • Support the Purchasing, Logistics, and Accounting departments with placing, tracking, delivering, and invoicing purchase orders from multiple vendors in North America and Asia.
  • Handle basic bookkeeping tasks on NetSuite, the company's ERP system.
  • Assist with inventory forecasting and order from suppliers.
  • Place PO’s with factories and track them through delivery.
  • Assist with inbound logistics by sea and air from the factory to the port and warehouse.
  • File and retrieve corporate records, documents, and reports.
  • Use various software, including word processing, Excel spreadsheets, databases, PowerPoint, and Adobe PDFs.
  • Read and comply with vendor manuals, submissions, and distribution instructions as needed.
  • Prepare carton and item labels.
  • Prepare distribution label mapping by item, by distribution, and by PO.
  • Prepare item setups requested by retailers based on the database for each item.
  • Create Vendor Bills in the ERP system, ensuring validation and matching of costs, payment terms, prepayments, and landed cost allocations.
  • Provide sales support with product details and conduct sales presentations in PowerPoint, Excel, and PDF formats.
  • Answer emails and key communications.
  • Ensure daily and ongoing executive administrative support that aligns with Sophistiplate’s business initiatives and objectives.
  • Apply discretion due to exposure to sensitive company information.
  • Manage and update factory costs and quotes in a centralized spreadsheet by vendor and in the NetSuite ERP system.
  • Perform other administrative duties as assigned.


Requirements

Gear Up: Essential Skills for Seamless Operations

  • Proven experience as an executive assistant with purchasing and sales support functions, or other relevant administrative support experience.
  • In-depth understanding of the entire MS Office suite.
  • Detail-oriented, willing to check and double-check all work performed, and committed to submitting accurate and current information to managers and vendor contacts.
  • Experience with accounting software, with direct accounting experience preferred.
  • Ability to meet deadlines in a fast-paced, changing environment.
  • Proactive approach to problem-solving with strong decision-making skills.
  • Professional-level verbal and written communication skills, including fluent and comprehensive English.
  • Knowledge of NetSuite is a plus but not required.
  • In-depth knowledge of Microsoft Office, including Outlook, Excel, and PowerPoint, is required.
  • Prior experience working the graveyard shift and willingness to continue doing so.
