Your missions

We are seeking a proactive Executive Admin Assistant to join the team. The ideal candidate will possess strong administrative skills, a can-do attitude, and the ability to handle multiple tasks efficiently. This role involves managing emails, handling phone calls, creating standard operating procedures, managing the client's CRM, coordinating email marketing campaigns, and overseeing invoicing through QuickBooks. Bilingual in Spanish is a plus.

Responsibilities:

1. Administrative Tasks:

  • Email Management: Manage and organize emails efficiently.
  • Phone Call and Message Handling: Answer phone calls and messages, explain services, and schedule Zoom meetings with clients.
  • Standard Operating Procedures (SOPs): Create and maintain SOPs to ensure efficient and consistent operations.
  • CRM Management: Manage the customer relationship management system to keep client information up-to-date and facilitate communication.

2. Email Marketing Campaign Management & Coordination:

  • Use Easy Biz Sales to manage and coordinate email marketing campaigns.
  • Create and send blogs to existing and prospective customers interested in our services.

3. Invoicing and Financial Management:

  • Invoicing with QuickBooks by ensuring customers receive their invoices timely, track payments, and send reminders for outstanding payments.

Requirements

  • Willing to work the graveyard shift
  • Bilingual in Spanish is a plus
  • Proven experience as an Administrative Assistant, Executive Assistant, or similar role
  • Proficiency in QuickBooks for invoicing and financial management
  • Familiarity with CRM systems and email marketing tools
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Ability to work independently and proactively
  • Positive demeanor with a focus on customer service
  • Ability to manage and prioritize tasks effectively
