Position Title: Contract Specialist

Reports To: Manager, Contracts

Department: Contracts

Work Location: US (Remote)

Position Summary

Under the general direction of the Manager, Contracts, the Contract Specialist is responsible for advancing customer contracts through the key stages of the contract lifecycle.  To succeed in this role, one must be able to detect errors and inconsistencies in a wide range of documentation as well as across different databases.  Ideal candidates are highly detail-oriented, accountable, and proficient multitaskers.

Principal Roles

  • Analyzing a wide range of documentation for potential business risks, compliance with corporate policies and business rules, and alignment with corporate goals.

  • Advancing customer contracts through the key stages of the contract lifecycle: request, negotiation, approval, execution, and activation.

  • Ensuring all business requirements are met prior to start-up of services.

Principal Responsibilities

  • Receives incoming customer contract requests and routes for processing.

  • Prescreens routine contract documents for potential business risks, compliance with corporate policies, and business rules, and alignment with corporate goals

  • Submits legal review requests as needed.

  • Verifies all relevant documentation accompany contract packages and maintains digital copies of relevant documentation.

  • Verifies all necessary approvals accompany contract packages prior to contract execution.

  • Prepares, sends, and manages DocuSign envelopes for signature.

  • Maintains digital contract files containing original contracts, relevant correspondence, relevant documentation, amendments/addendums/renewals, and special notes.

  • Submits account activation requests as needed.

  • Partners with Sales staff and various internal teams to verify and/or authenticate digital contract files and account records in the system.

  • Tracks customer contract requests against deadlines, reporting status and key issues to Director of Contracts and Manager, Contracts.

  • Assists and/or provides input into the formulation, development, or revision of operating policies, procedures, and strategies for contract lifecycle management.

  • Participates in continuous improvement through special projects.

  • Support LLS’ Quality Management System (QMS) to continually improve the Division’s processes, procedures, and services; and thereby increase efficiency, productivity, effectiveness, and customer satisfaction

The full-time hourly pay range for this role is listed below. Please note that this hourly rate information is solely for candidates hired to perform work within one of these locations. Experience and education refers to LanguageLine Solutions’ current hourly range for this position. US CA Monterey Headquarters and US (Remote) hourly rate is $29.57

Candidates hired to work in US CA Monterey Headquarters and US (Remote) will be subject to the pay rate associated with the location, and the actual hourly rate amount offered to any candidate at the time of hire will be reflected solely in the candidate’s offer letter.

Qualifications

  • Bachelor’s degree from an accredited university.

  • 2+ years related experience.

  • Legal office background a plus.

  • Strong analytical skills with an exceptional attention to detail.

  • Strong oral and written communication skills.

  • Possesses a positive, problem-solving attitude.

  • Ability to work in a team environment.

  • Ability to perform in a complex cross-functional business environment.

  • Ability to multitasks and meet deadlines in a dynamic and fast-paced environment.

  • Knowledge of contract documents and specifications.

  • Knowledge of legal requirements pertaining to contracts.

  • Experience working with a contract lifecycle management system a plus.

  • Proficient with online meeting and web conferencing tools like GoToMeeting.

  • Proficient with MS Office suite (Word, Excel, PowerPoint, Outlook.)

Physical Requirements

The employee will be working in an office environment in which he/she must sit for extended periods of time in front of a computer as the main working tool.  Use of telephone with or without a headset is required.  The employee will be frequently required to stand, talk, and hear.  Specific vision abilities required include close vision, distance vision, color vision, and the ability to adjust focus
