⚙️ Responsibilities:

  • SOP Establishment: Collaborate to establish and ensure adherence to SOPs for project documentation, PIRs, DIRs, and department communication.
  • Project Pipeline Management: Maintain and organize the project pipeline spreadsheet for weekly meetings, ensuring up-to-date data.
  • Organize Project Documentation: Efficiently sort and organize project documentation into appropriate folders within the company's drives.
  • Task Prioritization and Project Alignment: Prioritize tasks to optimize resource utilization, ensuring timely project delivery. Synchronize internal and external milestones with client timelines for alignment and success.
  • Vendor Management: Update and maintain vendor status list, sharing monthly updates with LBEs, particularly Highgate customers.
  • Meeting Organization: Assist in organizing internal and external meetings using platforms like Microsoft Teams and Google Meet. Create meeting agendas, take notes, and produce summaries and action items.
  • Effective Communication: Regularly communicate with Project Leads and customers to provide project updates and pending documentation.




Requirements

 We hope you have:

  • Equivalent of 5+ years of project management experience.
  • Architecture and design industry experience; hospitality is a must.
  • Understanding of different stakeholders and design phases in hospitality and healthcare (e.g. hospitality: designers, architects, GCs, management companies, owners, brands, and concept design, model room, guest room, lobby, restaurants, etc.)
  • Demonstrated ability to provide project management throughout the phases of initiation, design, implementation, and closing.
  • Experience and comfort in a fast-paced, dynamic environment with the ability to manage multiple projects at once.
  • Successful track record of working in collaboration with cross-functional teams.
  • Graduate/undergraduate degree with a preferred focus in either Hospitality, Interior Design, or Project Management.
  • Clear understanding of various stakeholders involved across organizations.
  • PMP Certification Preferred
  • Proficiency in HubSpot, Click Up, Excel/G-Sheets
