Job Summary:


The Staffing Coordinator is responsible for all functions relating to the daily staffing activity that comply with the Centralized Scheduling policies. Assists with the solutions relating to facility staffing needs, creating work schedules, preparing staffing reports and all functions related to staffing operations. Works collaboratively with healthcare client personnel & departments to ensure all staffing needs are met. Demonstrates the ability to maintain a flexible schedule to accommodate client needs. Essential functions will require high levels of proficiency in customer service, time management, and handling competing priorities to ensure smooth communication and optimal performance. Ability to multi-task in a fast-paced work environment.

Job Description:

  • Prepares, coordinates, and adjusts schedules to optimally staff each location.

  • Oversees staff schedules across multiple geographically dispersed locations.

  • Produces daily, weekly, monthly schedules as applicable.

  • Works with recruitment/unit managers to deploy staffing resources across the network.

  • Receives absence calls from staff and works to fill vacancies.

  • Coordinates time off requests/approval with oversight of staff member’s supervisor within established guidelines.

  • Maintains staffing information in the staffing software.

  • Reviews staff credentials prior to scheduling IRP staff.

  • Collaborates with staffing personnel to determine match and/or competencies of staff to meet staffing needs.

  • Promotes flexibility to staff to meet staffing needs of the units/facilities.

  • Maintains time and attendance in staffing software.

  • Assists with employee time tracking and payroll.

  • Attends meetings as required (both virtually and/or in-person as required).  Examples include mandatory internal meetings as needed and required, as often as monthly or quarterly, in-person meetings with clients, conferences, events, seminars, etc.

Qualifications:

  • High school diploma or equivalent. Associates or B.S. preferred.  

  • Strong understanding of healthcare staffing industry and unit-based hospital workforce.

  • Excellent critical thinking with customer centric focus.  High level of emotional intelligence with knowledge of de-escalation techniques and customer service fundamentals.

  • Strong computer skills and proficient understanding of computer software systems including but not limited to customer service, human resources, timekeeping, staffing, schedule creation, vendor management, reporting, and analytics.

  • Two years’ experience as a Staffing Coordinator or related health care position.  Experience coordinating staffing across multiple campuses/locations strongly preferred.  Familiarity with healthcare labor union parameters and operations strongly preferred.

  • Professionalism, discretion, and a strong sense of ethics.

  • Attention to detail and a high degree of accuracy in all work.

  • Excellent customer service skills required.

  • Ability to maintain confidentiality and handle sensitive information.
