Your missions

We are seeking a highly organized and detail-oriented individual to join our team as an Intake Specialist. The primary responsibilities of this role include managing incoming calls, conducting intake interviews, and ensuring accurate documentation necessary for onboarding new clients. The ideal candidate will have previous experience in similar roles within industries such as medical, insurance, title, mortgage, or legal, demonstrating proficiency in handling client interactions and documentation with precision.

Responsibilities:

  1. Answer incoming calls from prospective clients in a professional and courteous manner.
  2. Conduct thorough intake interviews to gather all required information for client onboarding.
  3. Document client information accurately and completely, maintaining detailed records in our database.
  4. Guide clients through the onboarding process, providing clear instructions and addressing any inquiries or concerns.
  5. Collaborate with internal teams to facilitate seamless transitions for new clients into our system.
  6. Follow up with clients as needed to obtain any missing information or additional documentation.
  7. Provide exceptional customer service, ensuring that client needs are met promptly and effectively.
  8. Adhere to company policies and procedures regarding client intake and data privacy.

Requirements:

  1. Previous experience as an intake specialist or similar role, preferably within the medical, insurance, title, mortgage, or legal industries.
  2. Excellent communication skills, both verbal and written, with the ability to interact professionally with clients.
  3. Strong attention to detail and accuracy in documentation work, ensuring that all information is recorded correctly.
  4. Proficiency in using computer systems and software for data entry and documentation purposes.
  5. Working Hours full-time US hours. 
  6. Technical Hardware:
    • Processor: Do you have a laptop or desktop computer with an i7 processor or higher?
    • RAM: a minimum of 16 GB of RAM
    Internet Connection:
    • Fibre Connection (no wifi) 
    • Upload Speed:  25 Mbps upload speed, Ideally, is it closer to 100 Mbps?
    • Static IP:
