Position Summary
This position serves as a direct payroll contact for the department of Pediatrics. Housed in the central administration division, this position processes payroll, assists in HR and administrative tasks related to onboarding, provides guidance to HR and payroll inquiries, and acts as the department’s primary contact for all staff, faculty, and fellow policies and procedures.

Job Description

Primary Duties & Responsibilities

  • Reviews timesheets and runs regular reports to audit time recorded and absence requests. Processes payroll on a biweekly and monthly basis for staff, faculty, postdocs, and fellows.
  • Processes all faculty and staff bonuses, on-call supplements, and various one-time payments.
  • Processes all faculty and staff salary change requests and FTE changes, ensuring sufficient justifications and compliance with department policies.
  • Processes all resignations, terminations, and retirements in Workday ensuring all access is terminated appropriately.
  • Generates offer letters for staff hires, monitors the onboarding process, and meets with all new hires to ensure understanding of department policies and procedures.
  • Works directly with department managers to provide and update job descriptions, create job requisitions, assist with Workday onboarding tasks, and other hiring responsibilities.
  • Responsible for complete faculty and fellow onboarding cycle.  Reviews faculty and fellow offer and appointment letters for clarity and compliance with Washington University and Department guidelines.  Drafts applicable non-competition agreement.  Prepares new faculty and fellow communications and coordinates all aspects of July orientation with business office peers.  Ensures all compliance requirements are fulfilled by applicable deadlines. 
  • Advises and assists regarding payroll issues, Human Resources and University policy clarification, FMLA/non-FMLA leave inquiries, and general administrative questions.  Reviews documentation from administrators.  Maintains department personnel files as well as SharePoint HR & Payroll site and networked folders used by management. (Central Administration/HR & Payroll).

Other Functions

  • Provides backup for all other payroll personnel in the Department of Pediatrics.
  • Special projects as assigned.

Working Conditions

  • This position has the potential to be a hybrid role, working remotely for a few days a week as approved, upon successful completion of training.

Preferred Qualifications

  • Bachelor’s Degree.
  • Experience in a medical, research or educational environment is also preferred.
  • Ideal candidate has experience with Workday and proficiency with Microsoft Office, particularly Excel.
  • Skill in development and documentation of operating and administrative policies and procedures. 
  • Excellent oral and written communication skills, as well as organizational skills. 
  • Strong critical thinking, problem solving and attentiveness to detail required. 
  • Knowledge of accounting principles and state/federal payroll procedures.
  • Ability to analyze problems and develop creative solutions in a wide variety of situations.
  • Ability to function independently in a professional and confidential manner essential. 

Required Qualifications

High school diploma or equivalent high school certification and two years of experience in administration, accounting, payroll or HR or an equivalent combination of education and relevant experience.

Salary Range
$20.76 - $32.21 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
