POSITION OVERVIEW
The Manager, Human Resources (Admin) operates within a generalist capacity with a focus on employee well-being, appreciation, and wage and hour procedures. The Manager, Human Resources (Admin) is charged with ensuring alignment and consistency in processes across all operating states, federal and state compliance, and bi-weekly payroll in collaboration with Finance.
Working closely under the Assistant Director, Human Resources & Administration, the Manager, Human Resources Administration is also the primary Human Resources Information System (HRIS) administrator and facilitates employee onboarding and offboarding procedures.
This full-time position may work remotely out of any of our operating states with a preference for candidates based out of the greater Los Angeles, CA or Park City, UT area in order to work and collaborate onsite in a hybrid capacity throughout the year. Extended hours, including evenings and weekends will be required at key points throughout the year. Occasional travel to other offices and events may also be required.
Top priorities include but are not limited to… - Routinely reviewing general HR processes and policies to ensure efficiency, legal compliance, consistency in application, content, and recommending improvements. - Managing all new hire/rehire paperwork packets and employee notices to ensure federal and state compliance and uploading new/rehire paperwork, promotion, and pay change documents into HRIS prior to payroll deadlines. - Managing I-9 verifications and compliance with employee information changes, and onboarding process audits. - Managing the exit process for seasonal and year-round employees, including conducting exit interviews, completing state required exit paperwork, annually creating experience surveys, analyzing data, presenting to Leadership, and proposing strategic plans for improvement. - Managing processes related to unemployment, including insurance verifications, notices, and appeals for departed employees and maintaining online accounts with state unemployment insurance departments. - Processing all annual federal and state reporting and managing key deadlines. - Providing timely and accurate correspondence to internal and external inquiries, guidance on Institute policies and procedures, and federal and state regulations to ensure they are consistently applied. - Acting as the primary point of contact for the HRIS (ADP Workforce Now) Account Manager on addressing issues that arise (i.e. file feed connections) and communicating timely updates to internal key stakeholders. - Managing bi-weekly payroll with the Finance Department, including resolving timecard inaccuracies, tracking pay and benefit changes for processing throughout the employment cycle (hire to termination). - Maintaining general information within the HRIS, including the home page, HR documents, employee personnel files, and building workflows and processes to build efficiency and resolve issues as they arise. - Building and maintaining a variety of reports and queries as requested. - Partnering with the Asst. Director, HR & Administration to ensure all employees on leave are receiving the appropriate pay and all ADP profiles are updated accordingly. - Coaching and advising employees and supervisors to achieve effective problem resolution, processing disciplinary actions, and serving as a confidential sounding board. - Working with HR team members to review and update new employee orientation content, compliance training to ensure accuracy of information, tracking completion, and conducting employee orientations as necessary. - Documenting and maintaining administrative procedures for all payroll and time and attendance processes. - Partnering with the Manager, Administration to enhance the employee appreciation efforts, virtually and in-person, across the organization. - Developing and implementing wellness initiatives with stakeholders to reduce health risk, medical costs, and encourage healthy lifestyles. - Continually analyzing and researching employee appreciation programs, benefit and wellness programs, to contribute to effective and competitive benefits that align with our mission, culture, and employee population. - Partnering with the Corporate Partnership team to collaborate with Festival specific sponsors and Assistant Director, HR & Admin to plan on-the-ground wellness initiatives and activities for remote and hybrid employees.
You have the following direct or transferable skill sets: - 3 years Human Resources generalist experience. - Capacity to effectively address diverse audiences with varied knowledge and experience and effectively influence individuals of varying backgrounds and learning styles. - Understanding of employment compliance and regulatory environments, including relevant country statutory employment requirements, common work authorization and immigration practices, and social insurances. - Skilled in project management including the ability to manage and prioritize to meet simultaneous deadlines. - Ability to resolve complex problems impacting people and programs. - Ability to operate independently where appropriate, and understand when to escalate issues. - Strong analytical skills and ability to work on basic processes as well as strategic initiatives. - Knowledge of HR information systems, ADP Workforce Now preferred, a basic understanding of database systems, and ability to conduct Internet research. - Ability to maintain confidentiality and unbiased opinions. - Professional in Human Resources (PHR) or equivalent certification preferred. - Legal authorization to work in the United States.
