Job Description:

The Business Operations Coordinator reports to the Assistant Director of University Stores and leads the reconciliation of all expense transactions for the University Stores unit and serves as the primary accounts payable contact for the unit. The Business Operations Coordinator is responsible for several hundred weekly credit card transactions which must be reconciled and expensed in a timely manner in accordance with LSU policies. This position works directly with vendors, procurement specialists and LSU Accounts Payable to resolve any invoicing discrepancies. Supervises several student employees and trains them on specific aspects of the reconciliation process.    

Job Duties:

Expense Reporting: Leads the reconciliation of all expense transactions and creation of expense reports. Review 100+ weekly credit card transactions and perform 3-way matching against purchase orders. Interact with vendors on a regular basis to research and resolve any invoice discrepancies uncovered during the matching process. Create expense reports in the LSU ERP system, Workday, including all required supporting documentation. First point of contact for resolution of any issue with existing expense reports. -40%

Accounts Payable: First point of contact for accounts payable inquiries from vendors. Receive and review account statements from vendors and promptly address any unpaid balances. Request invoices, credit memos, and process invoices for payment as needed. Maintain accuracy of internal vendor database. -20%

Administrative Support:  Maintains records on all departmental merchandise inventory. Prepare analytical data related to inventory values and purchase order integrity for Director. Conduct annual movable property inventory count for department. Provide customer assistance as needed. May be required to assist the Director and procurement staff as needed during peak time or emergencies.  Will be required to periodically answer telephones and create customer order entries.  -20%

Record Retention: Maintains orderly records of purchases orders, receipts, vendor invoices, expense reports, delivery receipts, and picking lists. Creates policy to coordinate fiscal year end document purge based on retention schedule. Provides copies of documentation as required by campus units for reconciliation of grant and other reimbursable accounts. -10%

Supervision: Hire, train, and supervise student workers assigned to assist in the day-to-day aspects of expense reconciliation. Review and approve time for student employees. Other duties as assigned.-10%

Minimum Qualifications:

Bachelor's Degree in Business, Finance, Accounting or related field

1 year of accounting, budgeting, financial or related experience
