Job description

We are looking for a highly organized and efficient Administrative Assistant to support our dynamic team. The ideal candidate will have the capability to handle a variety of tasks simultaneously, including running errands, conducting research, and coordinating meetings. This role is crucial for ensuring smooth day-to-day operations and providing support to upper management.

Key Responsibilities:

  • Run errands for the office as needed, demonstrating reliability and time management skills.
  • Multi-task and pivot between various tasks as required, maintaining flexibility and efficiency.
  • Conduct accurate research and document information, ensuring the reliability of data and reports.
  • Coordinate and facilitate both internal and external meetings, including preparing agendas, taking detailed minutes, and following up on action items.
  • Provide administrative support to upper management, including but not limited to scheduling, correspondence, and managing specific requests.
  • Handle ad-hoc tasks and projects with a proactive approach, assisting various departments as needed.
  • Assist in the planning and execution of company events and meetings.
  • Maintain confidentiality of sensitive information and documents.
  • Electronic uploading and management of documents

Required Skills:

  • Strong organizational and planning skills in a fast-paced environment.
  • Excellent time management skills and ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).

  • Familiarity with online meeting tools such as Zoom or Microsoft Teams.
