Job description

The Project Financial Coordinator (PFC), reports to the Director of Research Operations, and is responsible for providing financial and accounting support of all clinical research activities. The PFC provides financial reports to external clients (Sponsors, CROs, Medical Practices) and internal PH stakeholders (Panoramic Science Leadership, PH Leadership, PEB) among others. Reporting activities encompass clinical trials conducted within the Panoramic Science Investigative Site Network, data projects and Scientific Advisory Board activity. It is expected that the Project Financial Coordinator will manage the financial transactions of all clinical research activities including multiple ongoing clinical trials, HEOR and Data projects and adheres to all project timelines and contractual terms. **

Responsibilities Include**

  • This position provides pre-award budget development, helps identify complex risks and negotiation assistance with Pharmaceutical Sponsors for both Study Management service fees as well as site level fees including line items and the per patient budget.
  • This position provides post-award financial management of industry sponsored clinical trials, ensuring accurate and timely payments from clinical trial sponsors in accordance with the terms of the study contract and project timelines.
  • This position manages and reports on enrollment and retention projections for active clinical trials.
  • This position manages Accounts Receivable, Reconciliation and Closeout Processes including revenue recognition and cost allocations for clinical trials including all database maintenance to support these processes.
  • This position completes timely and accurate invoicing process, compliant with policies, working closely with all parties and systems involved in the financial management of clinical trials internally at PH as well as with external clients: Sponsors, vendors, CROs, Principal Investigators.
  • This position tracks start-up and recurring fees and supports processes related to the recognition and transfer of fees to appropriate departments.
  • This position tracks revenue and provides reporting as requested by leadership, preparing active study reports for review and monthly distribution.
  • This position protects confidential and sensitive information of a highly complex nature.
  • This position communicates with Sponsors for problem resolution, outstanding receivables, budget adjustment and information gathering.
  • This position interfaces with MDs and Practice management to report about earnings and projected revenue with regards to all aspects of the clinical trials and related activity.
  • Responsible for accuracy in financial reporting for cost, revenue, and profitability internally to accounting and finance and takes steps to maximize reimbursement for clinical trial related work.
  • Work with Director of Research Operations and other Senior leadership to create and maintain financial forecasts, mitigate risks and implement action plans.
  • Work with Director of Research Operations and Project Management team to review scope of work is within revenue and cost parameters and implement change orders/change in scope, where required, and in establishing quality objectives.
  • Perform other duties and responsibilities as required, assigned, or requested.

Qualifications

  • Bachelors’ degree required: Healthcare Administration, Business, Finance, Accounting, or related degree.
  • Minimum 2 years’ experience with invoicing, post-award finance or accounting in a healthcare or research setting.
  • Requires the ability to work independently with limited direction.
  • Requires excellent interpersonal and communication skills both written and verbal.
  • Requires flexibility, excellent organizational skills and attention to detail.
  • Must be able to balance and prioritize multiple projects and to handle the high volume of multiple studies.
  • Ability to meet priority deadlines and handle sensitive information in a highly confidential manner is required.

This role has a salary range of $60,000-$72,000 and regular, full-time employees working 30 or more hours per week are eligible for comprehensive benefits including Medical, Dental, Vision, Life, 401(K), Paid time off (PTO).
