Overview

The Project Coordinator/Office Administrator is responsible for: supporting the business and production needs of the BES – US division. Responsible functions include setting up and maintaining filing, records management, client coordination, and NYC office management. Responsible for proofreading, quality control and distribution of outgoing work documents. Coordinates and oversees mail distribution, office maintenance and security and supports overall office growth productivity. Works under general supervision, exercising initiative and independent judgement in the performance of tasks. The responsibilities are not an exhaustive list of duties for this position, but rather a highlight of them. This role may be asked to perform job responsibilities beyond this scope as necessitated by your changing role within the organization, and the overall business objectives of the organization.

Essential Job Functions

  • Draft, review and finalize deliverables which include but are not limited to:
    • Field Reports
    • Meeting Minutes
    • Exterior Building Reports
    • Building Envelope Surveys
    • RFP’s
    • Leak Investigations
  • Ensure all Meeting Minutes and Field Reports meet our guarantee of a two-day turnaround
  • Assist in creating specifications for design projects
  • Execute portions of the bid process including:
    • Creation and distribution of the bid package
    • Follow up with contractors to ensure attendance at on-site walk throughs
    • Creation and distribution of all addenda and bid matrices
  • Achieve weekly utilization rates
  • Attend & contribute to weekly team meetings
  • Maintain existing client relationships in a polite and professional manner
  • Answering our phone system in a courteous and proficient manner while directing calls and taking messages appropriately.
  • Will be the after-hours contact for AnswerConnect and will be required to respond to or direct messages to appropriate recipient via email from the answering services by the following business day.
  • Prepares general correspondence and emails
  • Supports the business and production needs of the VP of Operations and the NYC office
  • Assists with technical presentation materials and set up for special events
  • Will provide backup coverage to Office Manager Building Envelope Services for new business intake in 3E.

Required Education and Certifications

  • 2-4 years experience with technical writing – preference of experience within the A/E/C industry; however, not required
  • Microsoft Word and Excel templates
  • Interaction with project stakeholders (property managers, owners reps, contractors, etc.)

Required Skills and Abilities

  • Experience with PowerPoint, Excel, and PM tools (Project Insight) for analyzing, organizing, visualizing, tracking, reporting, and communicating plans and project status.
  • Effective communication skills and comfortability interacting with diverse teams.
  • Keen attention to detail.
  • Excellent analytical and problem-solving abilities.
  • Ability to work well under pressure.
  • Self-starting work ethic to sustain an effective remote work environment.

Physical Demands, Overtime, and Travel Requirements

Physical Demands - Work is performed primarily in an office setting. Employee is frequently required to stand, walk, sit, bend, crouch, hear, and talk (must be able to speak and communicate clearly with employees). Employee may lift and/or move up to 25 pounds. Clear vision and depth perception are also necessary.

Overtime – This position is salaried with a non-exempt FLSA status. Regular working hours are 8:00 am to 5:00 pm Monday through Friday with one hour for lunch. There will be some occasions where overtime (or working after normal business hours) will be required to meet the demands of the position.

Travel Requirements – Not expected for this position

The Salary Range for this position is $55,000.00-$70,000.00 and is dependent on education, experience, location and certifications/licensure.
