Duration & Type: 9+ months Contract with a major pharmaceutical client
Location: Summit, NJ (Can be remote from time to time, but will be needed onsite)
Responsibilities:
- Provide general facilities support for site services for a 15,000 square foot corporate office with approximately 100 employees. Exercises considerable discretion and resolves issues with site service requests and programs. Initiates and follows up on service requests and communicates details to employees and external clients/vendors
- Manage the facilities budget and relationships with soft services providers.
- Co-manage the tenant landlord relationship and oversee potential expansions if required in the future.
- Own and conduct space planning for site to including owning departmental and individual moves. Analyze processes and submit recommendations where opportunities arise.
- Plans and executes site events, coordinating catering, deliveries, staff participation, vendors, etc…
- Ensure security of facility and oversee badging.
- Review On-boarding Process and recommend improvements to process. Responsible for approving each Office Space Request for each new hire to ensure that seats, phones and office equipment are delivered to the new hire in a timely fashion.
- Manage and maintain parking for city parking.
- Manage mail services, confidential waste, supplies, and pantry/storage inventory.
- Sources goods and services. Processes invoices for payment and follows-up with accounts payable on outstanding payments and issues. Reconciles purchases.
- Partner with HR and Corp Communications to maintain company/office policies, distribution lists, and procedures.
- Partner with EHS to ensure that the site has the most suitable working environment for its employees providing a safe, clean, and secure working environment.
- Act as Seqirus Emergency Management (SEM) Logistics Coordinator for Summit to ensure smooth processes during emergencies, responsible for setting up and maintaining SEM rooms.
Administrative:
- Provide general administrative support as needed.
- Provide general support to visitors inclusive of being first point of contact.
Required:
- 5+ years of progressively increasing responsibilities in the areas of facilities/site operations and administration. Requires broad knowledge of operational procedures.
- Education: High School diploma or equivalent.
- Works under limited supervision.
- Proficiency in MS Office.
- Excellent written and verbal communication skills
- Comfortable in a faced paced working environment
