A dynamic company specialising in property development and management based in the UK, is looking for a highly organised, proactive, and detail-oriented Executive Assistant (EA) to work remotely. The ideal candidate will be responsible for providing comprehensive administrative support to the Director, ensuring smooth operations across various business functions. This is an exciting opportunity for someone with experience in property development and management, who is comfortable using a range of software tools to streamline processes and support the company's objectives. This opportunity offers part-time working of 15 hours per week (UK hours) during the three-month probation period to go full-time, working flexible hours after that.
Key Responsibilities:
Inbox Management:
Cover the Director’s inbox, filtering and responding to emails as needed.
Ensure prompt follow-up on important communication and prioritise urgent matters.
Weekly Planning & Follow-Up:
Support with weekly planning, organising schedules, and setting priorities.
Follow up on communication and actions to ensure deadlines are met.
Basic Bookkeeping & Financial Tracking:
Assist with basic bookkeeping tasks and track financial transactions.
Maintain accurate records and assist in financial reporting.
Process Mapping:
Create and document process maps for business operations and workflow optimisation.
Tool Management:
Use Monday.com to track tasks, projects, and deadlines.
Maintain and manage Xero for financial tracking and invoicing.
Material Ordering & Project Support:
Order materials for build projects and ensure timely delivery.
Assist with project tracking, including financial tracking and reporting.
Calendar Management:
Manage and update calendars, scheduling meetings and appointments.
Ensure efficient time management and prioritise key commitments.
Contracts & Documentation:
Issue contracts and ensure all documentation is properly signed and stored.
Support in maintaining organised and up-to-date filing systems.
Director’s Administrative Support:
Handle various administrative tasks to support the Director’s daily activities.
Manage personal inbox and general admin tasks for the Director.
KPI Reporting & Project Reporting:
Prepare KPI reports and track progress against business objectives.
Assist with reporting on project status, budget, and timelines.
General Administrative Tasks:
Provide general administrative support as required.
Ensure efficient operations and smooth communication within the team.
Requirements
Qualification:
Matric or relevant qualification.
Relevant Diploma or Degree.
Experience:
5 years' proven experience as an Executive Assistant or similar role.
2 years' experience in the property development or property management industry.
Strong background in managing multiple projects, tasks, and deadlines.
Familiarity with financial tracking and bookkeeping.
Technical Skills:
Proficiency with Monday.com or similar project management tools.
Experience using Xero or similar accounting software for financial management.
Strong proficiency with Microsoft Office Suite and Google Workspace.
