AGC Biologics, is seeking an Executive Assistant to be responsible for various duties and responsibilities in support of the President & Chief Executive Officer. The Executive Assistant must be creative and enjoy working within a fast-paced, dynamic environment that is mission-driven, and results-oriented. The ideal individual will have the ability to exercise good judgment, with strong written and verbal communication in English, attention to detail, administrative and organizational skills, and the ability to multi-task and effectively balance multiple priorities. The Executive Assistant will have a sense of urgency and the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and highly sensitive and confidential matters with professionalism and discretion.

KEY RESPONSIBILITIES:

  • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization including, managing an extremely active calendar of appointments, meetings, and travel; assisting with special projects; designing and producing complex documents; completing expense reports; arranging complex and detailed travel plans, itineraries, and agendas. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
  • Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Have a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
  • Coordinate all Executive Team meetings and assist with staff meetings and events as needed.
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.
  • Respond promptly to executive and team lead queries.
  • Proactively identify and implement more efficient ways to provide administrative support.
  • Ability to multi-task, be detail-oriented, accurate, and act with a sense of urgency when needed.

KNOWLEDGE, SKILLS & ABILITIES:

  • Excellent English communication, organizational and analytical skills along with the ability to work independently.
  • An ability to maintain confidentiality and work well with senior management.
  • Strong problem-solving skills, attention to detail, with the ability to work effectively under pressure and within short time constraints.
  • Must be comfortable operating with ambiguity and changing direction in rapid response to a fluctuating work environment.
  • Ability to prioritize multiple projects in a dynamically changing workload.
  • Demonstrated ability to prioritize while multi-tasking with the ability to maintain flexibility in the performance of the job responsibilities.
  • Demonstrated desire and ability to remove barriers to ensure success.
  • Must be highly detail-oriented, have strong multi-tasking skills, and practice consistent and timely follow-through.

EDUCATION/EXPERIENCE:

  • Minimum of 7+ years’ experience supporting C-Level Executives in a global fast-paced environment.
  • English proficiency required; Italian proficiency helpful.
  • BA/BS is preferred.
  • Proficiency with MS products including Outlook, PowerPoint, Word, Excel, DocuSign, Adobe Acrobat and SharePoint required.
  • International travel may be required.
