Job description

We are seeking a highly organized and proactive Administrative Assistant to join our team. This fully remote position, based out of Lisboa, Portugal, is exclusively open to citizens of EU countries. Key Responsibilities

  • Manage scheduling, calendars, and virtual meetings for team members across multiple time zones
  • Handle email correspondence and maintain clear communication with internal and external stakeholders
  • Perform data entry, document organization, and updates to internal systems
  • Assist with travel arrangements, expense tracking, and basic bookkeeping tasks
  • Support project coordination by preparing reports, presentations, and meeting agendas
  • Provide general administrative support to ensure seamless remote operations

Requirements

  • Citizenship of an EU country (required due to company policy and tax compliance)
  • Proven experience as an Administrative Assistant, Virtual Assistant, or similar role (1-2 years preferred)
  • Basic knowledge of English (written); proficiency in Portuguese is a plus but not required
  • Strong proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and scheduling tools (e.g., Calendly)
  • Excellent organizational and time-management skills with the ability to prioritize tasks
  • Reliable internet connection and a quiet, professional remote work setup
  • Ability to work independently and maintain confidentiality

Preferred Qualifications

  • Experience with remote collaboration tools (e.g., Slack, Zoom, Asana, or Trello)
  • Familiarity with basic HR or payroll processes
  • Background working with international teams
