Job description

We are looking for a detail-oriented and proactive Property Management Assistant to join our team remotely. This role involves supporting property management operations, including answering phone calls, preparing resort expense reports, conducting billing for property owners, and more. The ideal candidate will have a strong background in hotel customer service and administrative tasks, a proactive attitude, and the ability to efficiently manage multiple responsibilities. Resort or hotel management experience is a plus!

Key Responsibilities:

  • Phone & Email Support: Answer and respond to phone calls and emails professionally, providing assistance and information to guests and property owners.
  • Expense Reports & Billing: Prepare and maintain resort expense reports; assist with billing for property owners.
  • Property Management Support: Assist in managing property listings, conduct billing, and support general property operations.
  • Guest & Owner Communication: Coordinate between property owners, guests, and team members to ensure smooth operations and address any inquiries.
  • Scheduling & Reservations: Help guests schedule activities, make and modify reservations, and complete reservation sales over the phone by suggesting cabins based on guest needs and booking them directly.
  • Expense Tracking: Manage cross-department expense tracking and reporting, ensuring accurate and timely records.
  • Coordination: Work with owners, accountants, managers, and staff to ensure seamless operations.
  • Software Utilization: Use Guesty property management software to manage tasks; proficiency in Square, WordPress, and Excel is a plus.

Requirements

  • Knowledge of Guesty property management software is required.
  • Previous experience in property management or hotels, office administration, or a related field is required.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Customer service-oriented with a professional and friendly demeanor.
  • Ability to work independently and manage tasks with minimal supervision.
