Job Title: Executive Recruitment Administrative Assistant
Location:
Remote (EST Time Zone)
Salary Range:
up to 1200 USD

Work Schedule:
Monday - Friday, 9:00 AM to 5:00 PM (EST)

About the Company:

Sagan represents a boutique executive recruiting firm seeking a highly organized and proactive Executive Recruitment Administrative Assistant to support a Partner in managing client and candidate relationships, streamlining administrative processes, and maintaining an efficient workflow.

Position Overview:

The Executive Recruitment Administrative Assistant will play a key role in supporting the Partner with administrative and operational tasks related to executive recruitment. This position requires strong organizational skills, accountability, diligence, and excellent communication to ensure smooth coordination between clients, candidates, and internal systems.

Key Responsibilities:

  • Job Description Management: Draft and refine job descriptions for various roles.
  • CRM & Data Management: Update and maintain candidate, client, and job role information in the companys CRM system.
  • Candidate & Client Experience Tracking: Monitor interactions and progress throughout the recruitment process.
  • Interview Coordination: Schedule and manage interview appointments between the Partner and candidates.
  • Administrative Support: Assist with daily operational and organizational tasks to keep workflows efficient.


Required Skills & Qualifications:

  • Fluent English (Written & Spoken) Strong communication skills are essential.
  • Experience in Administrative or Executive Support Roles Preferably 1+ years in a similar position.
  • Tech-Savvy & Comfortable with Remote Tools:
    >> Slack
    >> Google Suite (Docs, Sheets, Calendar)
    >> Canva (Basic familiarity is a plus)
  • Highly Organized & Detail-Oriented: Ability to manage multiple tasks efficiently.
  • Strong Communication & Accountability: Overly communicative and proactive in keeping stakeholders updated.


Nice-to-Have Skills (Not Required):

  • Basic design skills for document formatting or visual presentation.
