This is a remote position.

Schedule: Monday to Friday, 9:00 AM – 6:00 PM (Victoria Australia Time) with a 1-hour unpaid break | Monday to Friday, 6:00 AM – 3:00 PM (Manila Time) with a 1-hour unpaid break

Total Paid Working Hours Per Week: 40 hours

 

Our client is seeking a detail-oriented Construction Administration Support Specialist to assist their growing custom home builder team. This role focuses on streamlining operations, enhancing financial tracking, and ensuring efficient project workflows for high-end residential construction projects valued between $900,000 and $1 million.

 Key Responsibilities

 

Financial Administration & Cost Control

  • Manage cost tracking and accounts payable in Wonderbuild.
  • Ensure accurate cost allocation for each project.
  • Match supplier invoices with purchase orders and maintain job profitability tracking.
  • Process vendor and supplier payments.
  • Generate monthly job profitability reports.

Documentation & Pre-Construction

  • Handle building permit applications and occupancy certifications.
  • Manage building contracts, specifications, and variations.
  • Maintain an organized document management system in Google Drive.
  • Manage RFQs from subcontractors and suppliers.

Project Coordination & Scheduling

  • Maintain project schedules in Wonderbuild alongside the Construction Manager.
  • Support client communication via Google Chat.
  • Oversee documentation across all project phases.
  • Assist in managing the Wonderbuild client portal.
  • Support operational scaling from 4 to 6 concurrent projects.

Compliance & Process Improvement

  • Enhance safety documentation and compliance tracking.
  • Contribute to process and system optimization.
  • Ensure adherence to Victoria’s building codes and safety requirements.

Scope of Role

  • Support 4–6 simultaneous projects.
  • Provide administrative support for a team of 8.
  • Manage documentation for approximately 9–12 active leads/prospects monthly.
  • Work on both custom new builds and extensions.

Success Metrics

  • 100% accurate cost allocation and job profitability reporting.
  • Zero mismatched invoices.
  • 100% documentation of selections before construction begins.
  • 100% approval of variations before work starts.
  • Daily schedule updates with 100% accuracy.
  • 85% of RFQs processed and followed up within 24 hours.
  • Successful scaling of project management from 4 to 6 projects.

 


Required Qualifications & Skills

  • Proficiency in Wonderbuild and Google Workspace.
  • Experience in construction, financial administration, and cost tracking.
  • Understanding of construction terminology and processes.
  • Knowledge of Victoria’s building codes and safety requirements.
  • Strong attention to detail, organizational, and communication skills.
  • Ability to manage multiple projects and adapt to shifting priorities.
