Job Title: Technical Project Manager – AI-Powered Translation System

Location: Remote but based in Poland (Speaks Polish)

Job Type: Full-time, contract for 6 months with possibility to extend it.

About the Role: We are looking for an experienced Technical Project Manager to oversee the implementation, deployment, and maintenance of a custom AI-driven translation system for a major corporate client. This role requires someone with strong project management skills, a technical background in software development and integration, and an ability to navigate complex contractual obligations while ensuring smooth execution across multiple stakeholders.

The project involves developing a translation system using both off-the-shelf software and custom-built components, ensuring scalability, compliance with Polish data security laws, and seamless integration with the client’s existing IT infrastructure. The system will be hosted in a dedicated remote server room, requiring close collaboration with client IT teams.

Key Responsibilities:

Project Management & Execution:

• Lead and oversee the end-to-end development, implementation, and maintenance of the AI-driven translation system.
• Ensure compliance with the two governing contracts (Implementation Contract & Maintenance Contract), including managing analysis, construction, testing, deployment, and stabilization phases.
• Define and track milestones, deliverables, and timelines, ensuring alignment with contractual obligations.
• Act as the primary liaison between internal teams, software supplier, and our customer to ensure clear expectations and seamless coordination.
• Anticipate risks and proactively resolve issues, particularly regarding change management, stabilization, delivery timelines, and infrastructure dependencies.

Stakeholder & Contract Management:

• Ensure all contractual requirements are met regarding analysis documentation, system testing, go-live coordination, and post-launch stabilization.
• Monitor change requests and deviations, ensuring they are well-documented, communicated, and approved as per contract terms.
• Establish escalation paths for requirement disputes and ensure proper internal alignment (e.g., liaising with sales teams when necessary).
• Maintain strict compliance with subcontractor management protocols, including suppliers ‘involvement in development and maintenance.

Technical Oversight:

• Work closely with engineering teams to ensure seamless integration of off-the-shelf and custom-built translation components.
• Oversee infrastructure setup in the customer’s remote server room, ensuring integration into their network.
• Define and enforce quality standards, ensuring the system meets functional and non-functional requirements.
• Ensure a robust pre-launch testing process to mitigate go-live risks and minimize post-launch disruptions.

Reporting & Documentation:

• Ensure timely delivery of all required documentation (analysis reports, SLA reports, system modifications, training materials, etc.).
• Maintain clear records of customer dependencies and delays, ensuring accountability and transparent communication.
• Provide regular updates to senior management and key stakeholders.

Training & Support:

• Oversee user training sessions and ensure the client’s teams are well-equipped to use and maintain the system.
• Ensure smooth knowledge transfer to the client’s IT team and end-users.

Key Qualifications:

·       Experience in NLP or Machine Learning and Training

·       Experience working with third-party software vendors, particularly in AI/translation-related technologies and SLA’s.

·       3+ years of experience in technical project management, particularly in AI, NLP, or software integration projects.

·       Proven track record of managing enterprise IT projects with multiple stakeholders and contractual constraints.

·       Strong understanding of software development lifecycle (SDLC), cloud-based deployment, and machine learning (ML) implementation.

·       Knowledge of data security and compliance requirements, preferably within Polish/European regulations.

·       Excellent communication, negotiation, and stakeholder management skills.

·       Ability to anticipate risks, troubleshoot issues, and drive structured problem-solving approaches.

·       Experience managing remote IT infrastructure deployments and system integrations is a plus.

·       Familiarity with automated translation technologies (MT, TM) or similar platforms is a strong advantage.

·       Polish native speaker, writing business English.

·       Familiar with project management tools like MS Project.
