Primary Purpose

This position will support VaxTRIALS, an Emmes Company. VaxTRIALS, as the Latin American expert CRO, provides our customers with a diverse and broad portfolio of Clinical Study Services, either in a full or hybrid fashion for interventional or non-interventional trials, be it pre- or post-authorization, sponsored by manufacturers or investigators. Our solutions include a wide range of specific clinical trials services with an end-to-end approach.

The platform administrator is accountable for managing the day to day activities of the IT Service Management tool / Jira platform. The platform administrator should have a specific focus on service design, process improvement, quality, customer satisfaction and productivity and be familiar with ITIL.

Additional skills would be to gather requirements for workflow development build and test workflows to meet business requirements, provide input on process improvements and tools capability, follow ITIL standards to build and enforce best practices within the enterprise and build custom reports for business partner.

From a GUI perspective, the ability to design for ease of use and provide technical assistance and knowledge in the overall system architecture and status, have general knowledge of databases and how they function.

Responsibilities

  • Administration & Support. This function is responsible for the management of our IT Service Management / Jira platform as well as managing the Knowledge Management (KM) function. The KM function will be responsible for working with the resolver groups and ensuring that our KM articles are current and relevant to our business users and technical staff.
  • Service Management Technology. This function transforms clear requirements into business services in regards to mapping workflow requirements into automation and then managing workflow, understanding process flows of distinct ITIL processes (e.g. Incident, Problem, and Change Management). The responsibilities of this position can include the ability to work with diverse stakeholders, quick thinking (from support perspective), ability to think outside of the box, knowledge of the business itself and a broad exposure to technology.
  • Work on differing areas of ITIL / Emmes process, working with business stakeholders to deliver documented functionality
  • Once the ITSM processes identify a problem, this role is responsible for identification and remediation efforts to ensure business continuity.
  • Plan and facilitate structured team meetings to reach a group decision.
  • Work independently and escalate issues as they arise for decisions and action.
  • Communicate with stakeholders to ensure mutual understanding of requirements and functional specifications
  • Review business processes involving assigned business applications and develop optimization strategies, including gathering critical information from meetings with various stakeholders and producing useful reports
  • Evaluate needs and determination of feasibility based on business application capabilities and process improvement standards
  • Document and effectively communicate your efforts, insights, and recommendations, including conducting meetings and presentations to share ideas and findings
  • Ensure assigned business applications and processes meet business needs and requirements through user acceptance testing
  • Develop relationships throughout the company and its affiliates
  • Assist with creation of and update training documents related to assigned business applications
  • May participate in validation activities as needed
  • Other duties as assigned

Qualifications

  • Bachelor's Degree in technology, business, or humanities field preferred
  • 4-6 years in a Business Analyst, System Administrator, or similar role Preferred
  • Experience explaining technical terms to non-technical staff
  • Familiarity with Office 365 products
  • Experience building customer and stakeholder relationships with a focus on problem resolution
  • Exceptional analytical and conceptual thinking skills
  • Excellent communication and documentation skills, including technical writing
  • The ability to work with and influence a variety of stakeholders to determine acceptable solutions
  • Fundamental knowledge of process improvement
  • Relationship-building & People Management skills
  • Ability to make decisions rapidly and effectively
  • Developing, updating and validating processes and procedures with the appropriate business owners
