Job description

Job Summary:

The Virtual Assistant - Compensation and Benefits will support the C&B team in managing various C&B-related tasks. This role will focus on employee lifecycle processes (onboarding, contract updates, offboarding), payroll assistance, employee benefits processing, leave monitoring, and other administrative duties as assigned by the C&B Lead. This role requires excellent organizational skills, attention to detail, and the ability to work autonomously in a remote setting.

Responsibility


  • Assist in onboarding by preparing Job Offers (JO), Non-Disclosure Agreements (NDA), and employment contracts.

  • Update employee contracts for renewal or permanent employment.

  • Assist in offboarding tasks, such as checking clearance and preparing Final Accountability Advice (FAA).

  • Monitor and process employee leave requests.

  • Assist in processing and monitoring benefits, such as maternity/paternity leave, Insurance, retirement plans, and other employee perks.

  • Support payroll by double-checking calculations and headcounts.

  • Assist in the administration of employee compensation programs, ensuring alignment with company policies and compliance with local laws.

  • Maintain and update employee records related to compensation and benefits in HR databases.

  • Monitor team emails and ensure timely responses.

  • Assist in addressing employee inquiries about pay, benefits, and other compensation-related matters.

  • Assist in maintaining and improving C&B documentation and databases.

  • Assist with compensation surveys and benchmarking efforts to ensure the company remains competitive in the market.

  • Ensure compliance with relevant labor laws and regulations related to compensation and benefits.

  • Generate reports and analyses related to payroll, benefits, and other compensation metrics.

  • Support HR leadership in developing and revising compensation policies and structures.

  • Help in drafting and updating benefits communications and program documentation.

  • Liaise with external vendors and service providers as needed for benefits administration.

  • Other urgent ad hoc tasks outside C&B when needed.

  • Must demonstrate flexibility in handling a variety of tasks as needed.


Key skills and experience

  • Proven experience as a Virtual Assistant or similar role, with specific experience in compensation and benefits administration.

  • Strong understanding of payroll processes and benefits programs.

  • Familiarity with HR software and databases.

  • Excellent organizational skills and attention to detail.

  • Strong communication skills, both written and verbal.

  • Ability to manage sensitive information with confidentiality.

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace.

  • Bachelors degree in Human Resources, Business Administration, or a related field is preferred but not mandatory.

Preferred Qualifications:

  • Experience working with international or remote teams.

  • Knowledge of labor laws and regulations related to compensation and benefits.

  • Previous experience in HR, payroll, or administrative support is a plus.

  • Familiarity with payroll systems and benefits providers.

  • Strong attention to detail and organizational skills.

  • Ability to handle confidential information with discretion.
