How You’ll Contribute

The Advancement team identifies, cultivates, solicits, and stewards individuals, as well as foundation, government and corporate partners who invest in the Society to drive impact through science, technology, education, exploration, and storytelling. The team collaborates across the Society to build transformative and impact-driven strategic partnerships. The team also produces global events that deepen connections and leverage the Society’s power to convene, and directs robust annual, major and planned giving programs empowering the Society with a broad base of public support.

Reporting to the Director, Advancement Gift Processing and working with a dynamic and collaborative team, the Senior Specialist, Advancement Gift Processing is responsible for all aspects of our gift processing and fulfillment from booking transactions to acknowledging and receipting, as well as contract and vendor data management utilizing the highest quality of data standards and practices to support philanthropic revenue. This position is also responsible for ensuring timely gift and pledge processing and assists with data management.

Your Impact

Responsibilities Include 

Manage all gift processing which includes receiving, coding, and tracking gifts from mail, online giving, and incoming data files from caging vendor and third-party donation aggregators (50%)

  • Process gifts, pledges, Bequests, Charitable Gift Annuities and other donations on a timely basis, ensuring all gift codes are accurately applied and entry is in compliance with all gift processing policies and industry best practices. 

  • Manage the weekly caging vendor acknowledgement process from an operational perspective.

  • Manage the pledge reminder process. 

  • Work with the Finance team to reconcile donations and ensure timely and accurate recording of gift processing transactions

  • Manage the creation and tracking of all Advancement funds.

  • Work with NGS’s caging vendor to resolve any reporting variances/discrepancies or process improvements

  • Work with Director, Advancement Data & Systems and Director, Advancement Gift Processing, to research and recommend process efficiencies for ongoing data processing tasks. 

Manage gift processing data input and maintenance in Advancement Systems (30%)

  • Assist the Director, Advancement Gift Processing to establish, maintain and document standard operating procedures for gift processing data entry and maintenance.

  • Manage ongoing data hygiene, maintenance, and ad-hoc clean-up projects and other necessary tasks to ensure integrity of database.

  • Assist with data pulls, both scheduled and on-demand.

  • Support the Advancement team by responding internally to donor payment questions, providing appropriate tax receipts, tracking expected gifts and providing timely notifications and follow up.

Manage daily/weekly/monthly gift processing reports (15%)

  • Distribute daily gift report

  • Work with Finance to provide necessary support for monthly financial close reports

Assist with special projects as directed (5%)

What You’ll Bring 

Educational Background

Bachelor’s degree preferred.

Minimum Years and Type of Experience   

4+ years working with confidential data and gift processing in nonprofit or comparable organizations with an aptitude for financial transactions and reporting systems.

Necessary Knowledge and Skills

  • Exceptional organizational, planning, prioritization, collaboration, communication, and interpersonal skills.  

  • Strong PC skills, advanced proficiency in Excel;

  • Proficiency with relational databases, preferably Raiser's Edge and eCRM Engaging Networks;

  • Ability to identify problems, develops solutions and take action to resolve issues in assigned areas of responsibility;

  • Detail oriented, ability to perform in-depth research, account analysis and reconciliation;

  • Motivated and dependable, ability to prioritize workload, manage time efficiently, consistently meet required deadlines.

  • Candidate will be detail oriented and possess excellent interpersonal skills along with the ability to work effectively as a member of a complex, dynamic, and high-performing team

The salary range for this position accounts for a wide range of factors including but not limited to organizational need; specific skill sets; experience and training; certifications; and more. At the National Geographic Society, individuals are typically hired at or near the starting point of the salary range for their role, and compensation decisions are dependent on the facts and circumstances of each case.

The salary range for this position is $71,200 - $75,000.

Job Designation

Remote - Our Remote designation includes staff who must work in another location in the U.S. or abroad, such as our regional leads for our Education and International teams or regional fundraisers in Advancement. Staff may also be designated as Remote by their supervisors (with approval by the Senior Team lead) because of their job duties, and are afforded this status when it is beneficial to NGS, their respective team, and the employee.
