Job Summary:
The EPMO Portfolio Analyst is responsible for supporting the scoping, planning, and evaluation of key portfolio management and strategic initiatives which empower Wellstar to deliver world class healthcare and accomplish the organization's goals.
The Portfolio Analyst is largely responsible for executing the discovery and assessment process for vetting and scoping project and initiative requests. Under the supervision of the Director of Strategic Portfolio Management, the Portfolio Analyst will work collaboratively with the Strategic Portfolio Directors, Program Managers, other EPMO team members, as needed, and functional area leaders, in developing business plan analysis, functional area assessments, and providing support in tracking project metrics to determine benefit realization in support of the strategic theme(s) assigned (at least one, no more than two)
The Portfolio Analyst will also be responsible for clerical duties and to provide general support for reporting. The Portfolio Analyst will be expected to work closely with System Administration, Hospital Leadership and Team members in scoping and resourcing projects. Facilitate meetings, create presentations and reports for Leadership.
Core Responsibilities and Essential Functions:
Support the administrative and tactical management of project and idea discovery from beginning to end through all administrative processes and tools available
* Provide timely scheduled and ad-hoc reports from EPMO systems
* Perform basic analysis of requests/ideas
* Track progress and review tasks to ensure deadlines are met appropriately
* Attend management, project team, and customer meetings as requested
* Serve as communication link between EPMO and Functional Areas
Provide timely and accurate administrative support services
* Facilitate and manage meetings and/or conference calls with Functional Area Leaders, Hospital and Administration Leaders and Departmental Executives
* Create presentations and dashboards for program reporting to Administration and Hospital Leadership and other Departmental Executives
* Manage communication with all Leaders and Team Members of submission analysis and project updates, and serve as liaison
* Schedule meetings, meeting preparation (send out reminders, packets, set-up equipment, minutes)
* Assist with developing presentations and meeting materials
* Monitoring of department email inbox and discovery queue
Deliverable development and procurement
* Assist in developing and deliver progress reports, proposals, requirements documentation and presentations
* Capture and publish initiative benefit realization
* Create and distribute regular reports on idea submission process, volume, and benefits
* Help to create needed deliverable documents as assigned by project leadership
* These may include draft RFPs, job descriptions, policies and procedures, presentations, story boards, organizational charts, etc.
* Facilitate policies and procedures during the discovery process to develop needed deliverables (contract, budget, resource assessment, etc.)
Other duties as assigned
* Assist with organization of large meetings, leadership teams and groups as requested
* Assist in gathering and dissemination of materials for meetings, provide edits and restructuring.
* Attend management, project team, and customer meetings as requested
* Manage initiative communications for system and events
* Event and vendor coordination for Wellstar Leadership Day, Townhalls and any other events as assigned
* Ordering and distribution of office supplies and interoffice mail
Performs other duties as assigned
Complies with all Wellstar Health System policies, standards of work, and code of conduct.
Required Minimum Education:
- Bachelors General or Masters Health Administration-Preferred or Other / Certificate Project Management-Preferred

Minimum 3 years Systems support role preferably within a large hospital or large integrated health system Required
Minimum 2 years Data or business analysis Required
Minimum 2 years Project coordination or project management experience Preferred
Minimum 2 years Experience maintaining project and portfolio data and tracking performance measures Preferred
Required Minimum Skills:
Customer centric focus with demonstrated strong skills in creating and maintaining relationships with customers High
Strong technical and computer skills with demonstrated proficiency in MS Office Word, PowerPoint, Excel, Outlook, and Teams, experience in Visio and SharePoint a plus Medium
