Your Role: Mortgage Document Specialist / Transaction Coordinator
Job Overview
The Mortgage Document Specialist (or Transaction Coordinator) supports loan processors and loan originators by ensuring the efficient and accurate management of mortgage-related documents. This role focuses on organizing, verifying, and preparing essential paperwork for loan applications while maintaining compliance with industry regulations. As a key contributor to the loan processing team, the Document Specialist ensures timely and seamless communication between loan officers, loan processors, and other operations stakeholders. There is no front-facing communication with clients or realtors.
Key Responsibilities
- Document Preparation and Organization:
o Collect, organize, and maintain accurate and complete loan documentation. o Coordinate with various parties involved in the loan process, such as loan officers, loan processors, lender operations staff, title companies, and appraisal management companies. o Review loan files for completeness and accuracy to minimize errors and delays. o Maintain accurate records and files.
- Prepare and review loan documents, including loan applications, loan estimates, closing disclosures, and other required paperwork.
- Ensure adherence to all regulatory requirements and company policies.
- Transaction Coordination:
- Track loan progress and deadlines to ensure timely processing.
- Communicate effectively with internal and external stakeholders to provide updates and address inquiries.
- Quality Assurance:
- Identify and resolve any issues or discrepancies in the documentation.
- Maintain a high level of quality control throughout the loan process.
- Administrative Tasks:
- Utilize loan origination software to input and track loan information.
- Assist with other administrative tasks as needed.
Qualifications
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Google Workplace (Docs, Sheets, Gmail), MS Office (Word, Excel) and Adobe Acrobat.
- Ability to work independently and as part of a team.
- Strong organizational skills with the ability to manage multiple files and deadlines simultaneously.
- Exceptional attention to detail to ensure the accuracy of document verification and data entry.
- Excellent communication and interpersonal skills for stakeholder coordination.
- Proficiency in Google Workspace (Docs, Sheets, and Gmail), MS Office (Word, Excel) and familiarity with electronic document management systems.
- Knowledge of mortgage loan processes, industry terminology, and compliance requirements.
Preferred Qualifications
- Knowledge of mortgage lending processes and regulations.
- Knowledge of loan origination software.
- Experience in the mortgage industry.
Education and Experience
- High school diploma or equivalent; higher education is a plus.
- Minimum of 1-2 years of experience in mortgage, banking, or a related administrative role preferred.
- Familiarity with loan processing systems (Calyx-primary and Encompass-secondary) is a plus.
Work Environment
- Ability to work in a fast-paced environment with shifting priorities.
- Experience with hybrid or remote work setups is a plus.
