Executive Assistant – Part-time – Borates, California Operations ​​

About the role

We are looking for an Executive Assistant to join the Borates team in Boron California. This is a part time position working 16 - 24 hours a week. Role is based at our operation site in Boron with some opportunity to work from home. This role provides executive assistance and support services to the General Manager (GM) and the Chief Operating Officer (COO) as well as other members of the Borates leadership team as needed.

This role is a great opportunity provide comprehensive and confidential support to the Senior Leaders, allowing for a good deal of autonomy and decision-making. This position is responsible for ensuring the day-to-day management of the Coo’s and GM’s day-to-day and quarterly activities.

In this role you will be:

  • Providing administrative and support directly to the COO and GM exercising the utmost confidentiality, tact and diplomacy
  • Overseeing complex diary management requiring a proactive assessment of priority meetings and appointments and adjusting as appropriate, managing across timezones
  • Using business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.
  • Managing comprehensive travel and accommodation arrangements, both local and international
  • Preparing responses to routine correspondence and inquiries along with planning team meetings, special events and conferences, including any catering, AV, and other requirements
  • Managing all relevant costs and expenses generated by the COO and GM
  • Manages complex monthly reporting, dashboards, cost analysis, supports and/or leads functional/special projects

  • Demonstrated experience in a similar senior executive or personal assistant role

  • Exceptional time management skills and ability to forward plan
  • Excellent Microsoft Office suite skills
  • Experience using SAP or similar applications for requisitions, purchasing, travel, expenses and scheduling
  • Able to manage sensitive information and conversations with complete confidentiality
  • Proven ability to manage work and priorities independently and with minimal guidance
  • Authorized to work in the US without work visa sponsorship
