Salary: £26,000.00 per annum plus Serco benefits
Working hours: Full-Time, 37.5 hours per week. Monday-Thursday office based, Friday-Sunday work from home.
3-week rota which includes 12 hours shifts. 2 weekends out of 3 (days, nights, off as 1 weekend on days, 1 weekend on nights and 1 weekend off)
A key member of the Service Delivery team, this role is crucial to ensure service users’ needs are met within agreed timeframes in accordance with Serco’s contractual obligations to UK Visa’s & Immigration (UKV&I), in relation to accommodation (and transport) for service users.
Main Accountabilities:
- Build effective relationships with key stakeholders, both internally and externally across the AASC contract to ensure excellent service delivery standards.
- Update visual management boards and contribute to operational excellence within the Service Delivery Centre
- Maintain data integrity of the IT systems to support performance reporting.
- Produce reports, briefings and information updates to a high standard within limited timeframe.
The SD Co-Ordinators will be operating within one or more of the following core service lines and will be required to support other SD Co-Ordinators, when required.
AIRE
- Ensure all responses to AIRE notifications are provided within agreed timescales.
- Upload all AIRE notifications onto AORA and assign out to the relevant internal and external stakeholder.
- Monitor all AIRE requests from beginning to completion to ensure all are actioned appropriately and within contractual timescales.
Allocations/Bookings
- Ensure all responses to the Authority requests are completed within contractual timescales.
- Ensure that all allocation and dispersal requests are processed in line with KPI 1 and KPI 2 timescales.
- Support the Service Delivery Manager with the preparation of mitigation for KPI’s 1 and 2.
- Responsibility to prepare and provide to the customer, appropriate mitigation for any contractual non-conformances in respect of KPI’s 1 and 2 for the region.
- Daily monitoring of property and room availability for both IA and DA
- Liaise with the customer to identify and allocate appropriate accommodation in both DA and IA for vulnerable persons and those with special needs or those deemed to be at risk.
- Prioritising, allocating and booking IA and DA and notifying relevant housing officer, area manager and maintenance officer should any remedial works be required.
- Identify and action any void properties that require input from housing or maintenance teams to prepare for reuse.
Transport
- Liaise with suppliers and sub-contractors, as required, to ensure fully compliant and effective transportation service.
- Schedule and allocate workflows for collecting and transporting service users, as required by the contract.
- Monitor the customer portal regularly and frequently and ensure all travel requests are uploaded to facilitate KPI 4 timescales.
Repairs and Maintenance
- Daily chasing against KPI and contractual deadlines and escalating same to Service Delivery Manager, Head of Service Delivery and Head of Field Operations
- Review classifications of reported defects and re-classify any incorrectly categorised defects fed through to the IT system.
- Support the Service Delivery Manager with preparation of mitigation for any contractual non-conformances for KPI’s 5, 6 and 7.
- Ensure appropriate scheduling and prioritising of repairs and defects to internal and external operatives, including correct category of work, timescales, and correct recipient, in compliance with the contractual requirements of KPI’s 5, 6 and 7
- Ensure timely responses and updates are received from internal and external repairs operatives.
- Ensure that all property certification for accommodation is present, in date and accurate.
- Ensure that any rectification action for property certification is scheduled and updated to ensure that the properties remain legally safe and compliant.
- Liaise with landlords, local authorities, contractors, and Serco staff as required.
- Liaise with Property Negotiators and organise, schedule and chase outstanding works for the onboarding of new properties.
What you need to do the job:
- Ability to successfully engage and create successful working relationships with both internal and external stakeholders.
- Ability to communicate information updates across the Service Delivery departments.
- Demonstrate effective time management skills and ability to manage and deliver a variety of priority tasks, prioritising own workload to meet specific timescales without prompt.
- Strong MS Excel skills
- Strong ICT skills
- Ability to travel within the regions and occasionally within the UK (a valid UK driver’s licence is essential)
- Security clearance at Counter Terrorism Check level and Criminal Record Bureau checks are required (the role is exempt from the Rehabilitation of Offenders Act 1974 and all offers of employment are subject to security clearance checks and approval by the Home Office).
