Job Summary

The Business Support Administrator provides comprehensive administrative, operational, and project support to the management team and department, ensuring smooth and efficient operations. This role is crucial for maintaining organized systems, facilitating communication, managing information, and contributing to the overall success of the business unit. The ideal candidate will be highly organized, detail-oriented, possess excellent communication and interpersonal skills, and be proficient in using various software applications. This position requires a proactive individual who can anticipate needs, solve problems effectively, and prioritize tasks in a dynamic environment.

Job Responsibilities
  • Effectively communicate with internal and external customers relative to GKN Aerospace Malaysia’s policies and practices.
  • Handling head of departments meeting. This covers scheduling, taking minutes & other related to the matter.
  • Responsible on the arrival of any visitors from GKN Aerospace globally that scheduled to visit the Malaysian site.
  • Maintaining an effective meeting room booking system.
  • Support with additional office administration tasks as required such as entering PO’s, invoice payment processing, managing the office budget etc.
  • Ordering & maintaining office supplies.
  • Provide HSE support and complete regular safety checks.**5S
  • Provide admin support to the HR and IT Functions, such as arranging meetings, travel and diary management.
  • In addition to daily responsibilities, work independently or in a team to plan, organize and complete a variety of non-recurring and ongoing projects: special reports, spreadsheets, presentations & event planning.
Job Qualifications
  • Minimum of 3 years related experience in an administrative support position.
  • Strong working knowledge of spreadsheet (Excel), presentation (PowerPoint) & Minutes meeting skills (Words) & internet and meeting and personal planning software required. 
  • Efficient in reading, write, speak in English language. Great communication with good interpersonal skills.
  • Ability to represent the Company in a highly professional manner.  Must maintain the highest level of confidentiality. Must be well organized, be able to multi-task and have a high level of attention to detail.
  • Must handle company private, sensitive and personal information in a professional and confidential manner.
