Job Title: Payroll Specialist
Department/Function: Human Resources
Location: Full Remote
General Description
The Payroll Specialist is responsible for activities related to processing high volume multi-state payroll for all Potbelly shops according to weekly and bi-weekly processing deadlines for hourly associates, management, Support Center and Contract Employees (if applicable). They should have working knowledge of voluntary payroll deduction, banking information, federal and state withholdings and other critical employee payroll matters.
FOCUS
Responsibilities
Process bi-weekly and weekly payrolls including but not limited to verifying hours, calculating OT & retro pay; processing benefit deductions; bonus payouts; direct deposit or pay card set up; balancing payroll; saving payroll reports; conduct post payroll audit, etc.
Prepare manual checks/pay card load as needed
Process stop payments and reissues of lost payroll checks/pay cards and direct deposit reversals; investigate and resolve all payroll discrepancies in a timely and accurate fashion
Provide adhoc payroll or job/salary reports for HR, operations, accounting or other departments as requested
Handle employment verifications and provides data updates to The Work Number
Performance Wage & Tax Reconciliations; handle new hire reporting
Maintain employee personnel files
Closely works with payroll vendors with regards to associate garnishments
Participates in year-end W2 audit activities
Knowledge and backup of HRIS password resets
Provide stellar customer service to all individuals
Supports all shop locations, by responding to numerous daily email and phone inquiries;
Process/update new and re-hire records (Incompletes/Missing Indicators) in EV5
Special projects as needed and/or as assigned
Essential Physical Functions
Must have the ability/stamina to work a minimum of 45 to 55 hours a week.
Will frequently reach, feel, bend, stoop, carry, finely manipulate and key in data.
Must be able to engage in problem-solving skills to help identify and solve potential issues in the field.
Must be able to communicate heavily through telephone, e-mail and in-person communications.
Experience, Education And Behaviors

High School degree required. College coursework preferred.
1 to 3 years proven payroll experience.
Knowledge of ADP, strongly preferred.
Excellent written and verbal communication.
Well organized and detail oriented.
Works well in a fast-paced environment.
Knowledge of Microsoft Office, especially Excel and Word.
Must maintain a high level of confidentiality.
