Job description

About the Role:

The Owner is seeking a highly organized and proactive Administrative Assistant to provide part-time support with both professional and personal tasks. This role is perfect for someone who thrives on a varied workload, can work independently, and has exceptional attention to detail. The position is remote, with daily meetings via video call.

Key Responsibilities:

Organization & Accountability:

  • Conduct daily check-ins to outline priorities for the day, week, and month ahead.
  • Track and manage tasks to ensure efficient completion.
  • Provide body-doubling support to help the owner stay on track and maintain focus.
  • Capture ideas and send voice/text notes for documentation.

Administrative & Financial Management:

  • Manage calendars, appointments, and scheduling to ensure efficiency.
  • Track and categorize expenses (business vs. personal), and manage receipts and financial documentation.
  • Handle email management—training to categorize and respond to emails.
  • Assist with property-related tasks, including liaising with agents, contractors, and suppliers.
  • Conduct research using RP data and compile reports to support decision-making (training videos available to master this task).
  • Oversee administrative duties, including filing and expense tracking.

Personal & Professional Support:

  • Organize travel arrangements, including booking flights, accommodation, and transport.
  • Manage personal errands, such as online grocery shopping, event planning, and household coordination.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Create systems tailored to the working relationship to carry out the above tasks effectively.
