The Hackett Center for Mental Health (Hackett Center) seeks a collaborative and hard-working professional to serve as Assistant Chief of Staff. The Assistant Chief of Staff will support the work of the Hackett Center team, including the Executive Director (ED), Deputy Director, and Chief of Staff (COS). The preferred work location for this position is in Houston, TX. The Meadows Institute is a virtual work environment, and this position will require occasional in-person meetings and project work. This position may not be filled or performed in California, Colorado, Hawaii, Montana, Rhode Island, or Washington at this time. Statewide travel (up to 20%) may be required. Some duties may require access to reliable personal transportation.
Responsibilities:
Work alongside and take direction from the COS to:
- Assist in creating and updating standard operating procedures and workflows for the organization;
- Coordinate staff and partner meetings on behalf of the Executive Director and Deputy Director, including coordination related to identifying and securing a meeting location, ordering and organizing refreshments, etc.;
- Arrange production of materials and supplies for projects and meetings, as requested by the COS and/or Executive Director and Deputy Director;
- Update and maintain administrative spreadsheets and files, which may contain sensitive or confidential information with a high degree of discretion;
- Support purchasing of project/program supplies;
- Coordinate staff travel for in-person staff meetings, conferences, and speaking engagements;
- Keep the Executive Director and Deputy Director well informed of upcoming commitments, meetings, speaking engagements, and other responsibilities.
- Help COS oversee and manage the workflow of deliverables that need to be reviewed by ED;
Maintain Executive Director and Deputy Director’s complex calendars and schedules with precise attention to detail and a high degree of discretion, including:
- Exercising sound judgment when scheduling appointments based on travel needs, location, and timing of meetings;
- Corresponding professionally and efficiently with external parties on behalf of THC;
- Planning, coordinating, and ensuring the Executive Director and Deputy Director’s schedule is followed and respected with regards to responding to new scheduling requests from internal and external parties;
- Prioritizing conflicting needs, appointments, and scheduling requests, and handling these matters expeditiously and proactively while consulting with the COS, Executive Director, and Deputy Director as needed to determine solutions; and
- Provide regular summaries and bios of key stakeholders for Executive Director and Deputy Director.
Complete monthly expense reports for the Executive Director and Deputy Director, including reconciling purchases with associated receipts by a designated deadline;
Support management of communication follow-up for Executive Director and Deputy Director;
Work with accounting to track and reconcile monthly expenses;
Update and maintain customer management system such as Salesforce;
Other duties as assigned.

- Bachelor’s degree and at least five years of experience with executive c-suite support or equivalent role (e.g., senior staffer to governmental leader);
- Excellent written and verbal communication skills;

- Flexibility in working with new issues, topics, and approaches;
- Strong project management skills with hands-on experience using project management tools such as Monday.com and Salesforce.
