Role Name: Administrative Assistant

Schedule:

  • 20 hours/week, Monday-Friday, 9:00 AM to 1:00 PM UK Time

Job Description

We’re seeking a detail-oriented Administrative Assistant to join our client’s team in a part-time capacity. This role offers a unique opportunity to work with a respected construction firm, handling diverse responsibilities across bookkeeping, administrative support, and customer service. The position provides excellent exposure to the construction industry while allowing you to utilize your organizational and technical skills. You’ll be working with modern tools and systems, contributing directly to the company’s operational efficiency and project success.

Responsibilities
  • Manage daily bookkeeping tasks using Xero (training provided)
  • Process and reconcile financial transactions, maintaining organized documentation (training provided)
  • Provide comprehensive administrative support, including document management and correspondence
  • Handle incoming calls professionally, ensuring excellent customer service
  • Assist with project administration using various project management tools
  • Coordinate with team members using Microsoft Teams and other collaboration platforms
  • Maintain and update project tracking through Smartsheets
  • Support various administrative processes to ensure smooth business operations


Requirements

Essential:

  • Proven experience with Xero accounting software
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent verbal and written communication skills
  • Professional phone manner and customer service orientation
  • Strong attention to detail and organizational abilities

Preferred:

  • Familiarity with Smartsheets and project management software
  • Experience with Microsoft Teams
  • Understanding of construction project administration
  • Ability to work independently and take initiative
  • Strong problem-solving skills and attention to detail
