Work Schedule: Part-time 20 hours a week flexible during client business hours

About the Role
We are seeking a highly organised and proactive Executive Assistant to provide high-level administrative and strategic support to our executive team. The ideal candidate will be a detail-oriented professional with excellent communication skills, the ability to manage multiple tasks efficiently, and a strong sense of discretion and professionalism.
Key Responsibilities
Administrative Support
• Manage executive calendars, appointments, and meetings.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Handle confidential information with discretion and professionalism.
• Take minutes during meetings and follow up on action items.
• Act as a liaison between executives and internal/external stakeholders.
Office & Business Operations
• Oversee office operations, ensuring efficiency and organisation.
• Coordinate travel arrangements, including flights, accommodation, and itineraries.
• Assist in the preparation of reports, proposals, and presentations.
• Monitor and manage expenses, budgets, and reimbursements.
• Support business process improvements and administrative projects.
Communication & Relationship Management
• Manage incoming and outgoing emails and calls on behalf of executives.
• Maintain strong relationships with clients, suppliers, and key stakeholders.
• Represent executives in meetings, events, and professional interactions as needed.
• Draft and distribute internal and external communications.
Project & Event Management
• Assist with planning and execution of company events, conferences, and meetings.
• Support executives in project management, ensuring deadlines are met.
• Conduct research and prepare briefs on industry trends and business insights.
Key Skills & Qualifications
• Experience: Minimum 3 years in an Executive Assistant, Personal Assistant, or similar role.
• Education: Diploma or Degree in Business Administration, Management, or a related field (preferred).
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and project management tools.
• Organisational Skills: Ability to manage multiple priorities in a fast-paced environment.
• Communication Skills: Strong verbal and written communication skills.
• Problem-Solving: Ability to anticipate needs and proactively resolve challenges.
• Confidentiality & Discretion: High level of professionalism and trustworthiness.
