SENIOR OFFICE ADMINISTRATOR

WHO YOU’LL WORK WITH

You’ll be part of a collaborative and dynamic administrative team that supports key functions within the Nike Vietnam Office, located in Ho Chi Minh City. In this role, you will partner closely with internal stakeholders including Human Resources, Finance, Government Affairs, Air Manufacturing Vietnam team & other functions and teammates from different countries to assist with office operations and employee engagement activities. Externally, you will coordinate with service providers, travel agencies, and government offices to facilitate office services, travel arrangements, and legal paperwork for expatriates and visitors. You will report to the Manager, Office Administration.

  • A minimum of 3 years of administrative experience in a fast-paced environment.
  • A bachelor’s degree or equivalent combination of education, experience, or training.
  • Strong analytical, negotiation, and problem- solving skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Detail oriented with strong organizational skills and a high level of self-motivation.
  • Excellent data management and reporting Skill. 
  • A commitment to honesty and integrity.
  • Comfort working with diverse cultures.

WHAT YOU’LL WORK ON

You will provide essential administrative support to ensure smooth office operations and create a positive experience for employees, visitors, and external partners.

  • Reception management: greeting visitors, handling phone calls, setting appointment, organizing & managing the reception arear. 
  • Mail and courier services: receiving and distributing packages and mails (incoming and outgoing), tracking packages and mails by Courier’s partners.
  • Office supplies management: ordering and controlling office supplies included tea break and lunch for office & offside meetings.
  • Vendor management: partnering with Legal team for contract review and working with vendors for vendor process (Aravo, Coupa, Concur).
  • Office events coordination: providing support for office events, office decoration and renovation.
  • Security contact management: closely working with Nike Security to perform the access card control for both employees and visitors, as well as parking cards & personal lockers.
  • Other admin tasks to ensure seamless office operations and administrative support.
