Key Responsibilities

Are you passionate about creating unforgettable experiences and ensuring seamless employee transitions? As our HROperations Experience Coordinator, you will be the go-to person for key moments in the employee journey such as onboarding and offboarding. You will ensure every new hire across our offices in Kyiv (Ukraine), Limassol (Cyprus), Warsaw (Poland), London (UK), Barcelona (Spain) and other emerging locations feels welcomed, informed, and excited to be part of our journey while also supporting employees as they transition out of the company. This role is operationally focused yet rooted in enthusiasm, connection, and efficiency.

You will play a crucial role in executing and improving processes that shape employee experiences from start to finish. Your dedication to creating a positive onboarding experience will significantly impact our company's ability to attract and retain top talent. Here’s how:

Coordinating Operational Processes with an Employee-First Approach
  • Coordinate Onboarding & Off boarding Logistics: Coordinate the logistics of the onboarding process, such as scheduling, preparing materials, arranging IT equipment, office access, and ensuring a smooth setup for employees when onboarding and offboarding.

  • Standardize and Optimize Workflows: Continuously refine onboarding, offboarding, and probation period processes to enhance efficiency and consistency across all locations. Ensure clear guidelines and checkpoints are established for managers and employees to facilitate successful probation evaluations and transitions in and outside our HRIS system, Workday.

  • Ensure Compliance and Documentation: Maintain accurate records, oversee paperwork completion, and ensure compliance with policies and local regulations in collaboration with the HROperations team.

  • Develop and Maintain Resources: Curate and update onboarding and offboarding materials, including checklists, guides, and FAQs, to support both employees and managers.

Creating a Positive and Engaging Employee Experience
  • Lead Inspiring Orientation Sessions: Facilitate engaging introduction sessions to familiarize new hires with company culture, values, and policies.

  • Strengthen Pre-Boarding & Transition Support: Implement creative pre-onboarding actions to engage employees before their start date and ensure departing employees experience a respectful and organized transition.

  • Gather and Act on Feedback: Act as a mediator and problem-solver, addressing any challenges or issues that arise during the onboarding process, working closely with HRBPs, managers, and other stakeholders to find timely resolutions.

  • Collaborate for a Unified Experience: Work closely with HR, IT, Workplace Experience, and hiring managers to ensure seamless coordination and support for employees at all stages.

Experience, Skills, and Competencies
  • Prior employee Onboarding Experience: Proven experience in coordinating and executing onboarding processes.

  • Attention to Detail: Strong attention to detail to ensure accuracy and completeness in the onboarding process.

  • Communication Skills: Excellent communication skills, both verbal and written, to effectively interact with new hires and stakeholders.

  • Critical thinking: the ability to assess process and content weaknesses and bottlenecks, and to propose solutions or report them to the relevant teams.

  • Time Management: Effective time management skills to prioritize tasks and meet deadlines in a fast-paced environment.

  • Customer Service Orientation: A customer-centric approach to ensure new hires feel supported and valued during their onboarding journey.

  • Adaptability: Ability to adapt to different workstyles and cultures and respond positively to change.

  • Problem-Solving: Strong problem-solving skills to address any issues or challenges that may arise during the onboarding process.

  • Tech Savvy: Familiarity with HR systems and G-Suit. Nice to have: previous experience working with Workday and JIRA
