What we are looking for…

We are seeking a detail-oriented and highly organized Sales Administrative Assistant to provide administrative and secretarial support to our sales team in the short-term rental and hotel reservation industry. This role involves managing contract organization, correspondence, internal forms, reservation creations, proposal submissions and various administrative tasks to ensure seamless sales operations. The ideal candidate is a multi-tasker with strong communication skills and the ability to work effectively in a fast-paced environment.

What you’ll do…

  • Process inbound leads and submit RFPs (on platforms such as HotelPlanner) for designated properties.
  • Administer administrative duties such as reservation creations, contract execution, correspondence, creating internal documents, and communicating with guests for post-booking inquiries.
  • Assist multiple sales managers with reservation flow and in determination of contract types and terms.
  • Generate reports from third-party platforms (e.g., HotelPlanner, CVent, Airbnb, VRBO) as required.
  • Participate in monthly sales meetings and assist with month-end reporting.
  • Maintain accurate sales files and manage collateral inventory.
  • Assist guests with reservations and track bookings in designated systems.
  • Work cross-functionally with local teams, revenue management, and the broader sales team.
  • Adapt to new tasks and responsibilities as needed.

Requirements

  • Minimum of 2 years in an administrative or sales support role, preferably in the hospitality, hotel, or short-term rental industry.
  • Strong verbal and written communication skills, with the ability to engage with guests, colleagues, and management at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with reservation platforms such as Airbnb, VRBO, HotelPlanner, CVent, or similar.
  • Ability to manage multiple tasks in a high-energy, fast-paced, and sometimes stressful environment.
  • Strong organizational skills with keen attention to detail.
  • Professional demeanor, positive attitude, and a team-oriented mindset.
  • Self-motivated and adaptable to new processes and systems.
  • Fluency in English (written and spoken) is required.
  • Flexibility to work occasional late nights and weekends as needed.
