Responsibilities of the Executive Sales Assistant:

Your responsibilities include:

  • Executive Assistant Responsibilities:
    • Email & Communication Management:
      • Efficiently manage the inbox by deleting, filtering, blocking, and organizing emails. Prioritize responses and follow up promptly
      • Respond to inquiries regarding retreats (corporate, leadership, media) and schedule calls if clients request quotes
      • Ensure prompt follow-ups on retreat quotes, verifying if clients have reviewed, agreed, or have additional questions
      • Aim for a high response rate and maintain an organized inbox

    • Contact & Database Management:
      • Manage contact outreach, follow up with referrals and existing clients via email campaigns to secure repeat bookings
      • Add new contacts to the CRM with relevant personal information (birthdays, anniversaries, etc.) and maintain an updated contact database
      • Regularly update and monitor contact management systems, ensuring smooth communication flow

    • Guest Onboarding & Surveys:
      • Support the onboarding process for retreat guests
      • Send pre- and post-retreat surveys to clients through Typeform, follow up with those who haven't completed them, and track responses
      • Export survey data to spreadsheets and consolidate feedback for the team to review before retreats

    • Calendar & Scheduling Management:
      • Assist with scheduling across multiple calendars, including corporate/consulting, retreat center, and free time
      • Ensure meetings are scheduled efficiently, managing any necessary adjustments and reminders

    • Administrative Support (Low Priority):
      • Organize retreat photos into designated folders (nature, food, etc.) for easy retrieval
      • Conduct research on conferences and events the client can participate in to support business growth and brand awareness
      • Assist with creating and generating reports when necessary

    • Phone & Call Management (Nice-to-Have):
      • Handle 2-3 inbound calls per day, maintaining a friendly and professional tone
      • Assure clients that follow-up will be provided and route calls to the appropriate team members by asking key questions

  • Sales & Lead Generation Responsibilities:
    • Lead Generation & Outreach:
      • Work with the sales team to develop lead generation strategies and craft outreach copy.
      • Identify potential clients and build relationships through outreach via email, LinkedIn, and social media comments

    • Sales Support & Appointment Scheduling:
      • Engage with prospects through social media comments, emails, and LinkedIn outreach; Utilize Sales Navigator for prospecting
      • Reconnect with past guests through email campaigns with an aim to bring in referrals, executed via direct email or LinkedIn
      • Schedule appointments and manage outreach campaigns effectively
      • Shadow sales calls to learn qualification techniques and improve response strategies with less oversight
      • Take notes and track follow-up actions from sales calls, ensuring timely responses and organization

    • Email Newsletter Management (Nice-to-have):
      • Draft and refine email newsletters, incorporating feedback and adding new elements to enhance appeal
      • Copywriting (Bonus):
        • If experienced, write compelling copy for newsletters to encourage sign-ups and drive interest in retreats
        • Track and analyze the effectiveness of newsletters and refine strategy based on performance metrics

    • Social Media Support (Nice-to-Have)
      • Contribute to developing a social media strategy to engage prospects and direct them to sales conversations
      • Create and schedule a month’s worth of social media posts for review, focusing on platforms like Instagram, Facebook, X (formerly Twitter), and LinkedIn
