Job description

Position: Executive Assistant to the CEO

REPORTS TO: Chief Executive Officer

DEPARTMENT: Executive

DIRECT REPORTS: N/A

FLSA STATUS: Full-time, Exempt

CAREER LEVEL: Professional/Technical

SALARY RANGE: $60,000 - $70,000

SUMMARY

PeerForward is seeking a proactive and highly organized Executive Assistant to the CEO to play a pivotal role in advancing our mission of empowering low-income students to achieve their post-secondary education goals. This position is ideal for someone who thrives in a fast-paced, dynamic environment, enjoys solving complex logistical challenges, and is passionate about making a difference. 

As a trusted partner to the CEO, you’ll manage critical administrative tasks, coordinate board activities, and support fundraising efforts, ensuring seamless communication and operations across all levels of the organization. 

This is a fully remote role, but candidates must reside in states where PeerForward operates (see our website for a full list). Occasional travel (up to 25%) is required.

RESPONSIBILITIES

Executive Administrative Support 

  • Serve as the primary point of contact for the CEO’s scheduling, travel arrangements, and correspondence. 
  • Organize and prepare materials for meetings, presentations, and events using Microsoft Office and other tools. 
  • Maintain efficient systems for managing records, files, and expense reports. 
  • Provide logistical support for meetings, including room reservations, catering, A/V setup, and follow-ups. 

 

Board of Directors Support

  • Coordinate all administrative aspects of board operations, including scheduling, meeting preparation, and logistics. 
  • Compile and distribute board meeting materials, ensuring timely contributions from all departments. 
  • Attend board meetings, record minutes, and track action items for follow-up. 
  • Identify and implement improvements to enhance board engagement and operational effectiveness. 

Development and Fundraising Support

  • Assist with the preparation of grant proposals, acknowledgment letters, and stewardship reports. 
  • Provide administrative support for development-related events and donor communications. 
  • Partner with the CEO to manage critical fundraising initiatives and donor relations. 

 

Virtual Office Management

  • Monitor and manage the organization’s virtual office operations, including mail and phone systems. 
  • Regularly check and process incoming mail, ensuring timely distribution to appropriate departments. 
  • Oversee the general phone system, answering calls and allocating them to the respective teams or departments. 
  • Serve as the first point of contact for general inquiries, ensuring excellent customer service and efficient handling of requests. 

 

QUALIFICATIONS/REQUIREMENTS

  • High school diploma or GED required; Bachelor’s degree preferred. 
  • 5+ years of experience supporting C-suite executives, with demonstrated ability to handle confidential information and sensitive matters. 
  • Expertise in scheduling, travel coordination, and prioritizing competing demands. 
  • Exceptional attention to detail, organization, and multitasking skills. 
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). 
  • Strong written and verbal communication skills, with the ability to build effective relationships at all levels. 
  • Flexibility to adapt to changing priorities and time zones, as well as availability for occasional travel with the CEO.

Additional Information 

  • Physical Requirements: Must be able to see, talk, hear, walk, and sit. Occasionally required to lift up to 20 lbs. 
  • Travel Requirements: Up to 25% of travel may be required, including accompaniment of the CEO.
