Quick Rundown:
We are seeking an Administrative Staff responsible for creating, organizing, and maintaining job files, ensuring accurate data entry, and collaborating with teams for up-to-date project information.
What You’ll Do:
Create new job files for each assigned project or assignment, ensuring all necessary documents and information are included
Organize and maintain job files in a systematic and efficient manner, ensuring easy retrieval and access to information by relevant stakeholders
Accurately enter and update project-related data into job files, including project details, specifications, schedules, milestones, and any other relevant information
Collaborate with various departments, teams, and individuals to gather and verify project information, ensuring comprehensive and up-to-date job files
Perform regular quality checks on job files to ensure accuracy, completeness, and adherence to company standards and procedures
Regularly review and update job files, removing outdated or irrelevant information and adding new documentation as required
Maintain records of job file activities, including file creation, updates, and document revisions
Adhere to company policies and procedures regarding data protection, confidentiality, and information security while handling job files
Identify opportunities for process improvement and suggest enhancements to streamline job file creation and management procedures
Provide guidance and support to team members on job file creation best practices, ensuring consistent adherence to standards across the organization
Inbound and outbound calling to customers

Proven experience in file management, data entry, or administrative roles
Excellent attention to detail and organizational skills
Strong written and verbal communication abilities.
Ability to work independently and collaborate effectively in a team environment
Strong commitment to confidentiality and data security
